About the Role

We are a growing healthcare consulting and advisory company with a collaborative, mission-driven team that takes its work seriously — and genuinely enjoys doing it. We are looking for an Executive Assistant who thrives in a fast-paced environment and takes pride in being the person who keeps everything running smoothly behind the scenes.


This role goes well beyond scheduling. You will support multiple C-suite executives across a broad range of administrative and operational functions — from complex calendar management and travel coordination to event planning and correspondence — working in close partnership with cross-functional teams across the broader organization.


The right person for this role has solid executive support experience, understands the pace and expectations of a C-suite environment, and brings the kind of professional presence and good judgment that earns trust quickly. You anticipate needs before they arise, communicate proactively, and handle sensitive information with discretion.


What You'll Own


Calendar Management

This goes well beyond scheduling meetings. You will manage complex, dynamic calendars for multiple executives while coordinating thoughtfully with the broader leadership team. This includes:

  • Navigating competing priorities across multiple calendars — often rearranging several commitments to make one critical meeting work
  • Anticipating drive times, meetings that run long, and back-to-back conflicts before they become problems
  • Proactively rescheduling and flagging issues well in advance
  • Keeping a few steps ahead of the pace so executives are never caught off guard


Travel Coordination

You'll handle end-to-end travel logistics for both domestic and international trips — conferences, client meetings, and beyond. That includes:

  • All aspects of booking: flights, hotels, ground transportation, conference registration
  • Speaker schedules, arrival logistics, and itinerary management
  • Occasional support for personal travel coordination for executives


Event Planning

From team off-sites to company-wide culture events, you'll have a hand in making them happen:

  • Coordinate annual strategic planning off-sites with the full executive team
  • Assist with internal events including holiday celebrations and culture initiatives
  • Help organize philanthropic and volunteer events (think community service days, culture building events, etc.)


Communications & Correspondence

  • Manage email inboxes on behalf of executives — triaging, responding, and escalating as appropriate
  • Draft correspondence, reports, and executive-level communications
  • Serve as a liaison between leadership and internal/external stakeholders


Office & Administrative Support

  • Oversee office supplies, inventory, and general facility needs
  • Handle mail, filing, scanning, and routing of incoming communications
  • Assist with Finance team on expense reports and invoice coordination as needed
  • Support onboarding and people team initiatives as needed


Personal Support (as needed)

As is common in executive support roles, you may occasionally assist with personal scheduling, family calendar logistics, document management, and personal travel coordination.


What We're Looking For


Experience & Education

  • Bachelor's degree or some additional level of higher education strongly preferred
  • 5+ years of hands-on experience supporting C-suite or senior-level executives
  • Background in healthcare, consulting, or a similarly dynamic environment is a big plus — but not a dealbreaker if you bring strong transferable skills


Skills

  • Sharp organizational skills and an eye for detail — especially around scheduling and logistics
  • Strong written and verbal communication; you can craft a professional email and pick up the phone without hesitation
  • Proficiency in Microsoft Office Suite (Outlook is your best friend), Zoom, Teams, and Slack
  • Comfortable picking up new tools; Salesforce experience is a bonus
  • Ability to manage competing priorities while maintaining composure

  • competitive salary, dependent on experience
  • Hybrid schedule: 3 days in-office, 2 days remote (typically Mondays and Fridays)
