The Opportunity

This is a genuinely exciting role for someone who loves being the person that makes everything run smoothly. As the first dedicated EA and Office Manager in the Sydney office, you will be the operational heart of a growing team of senior investment professionals, reporting directly to the Managing Director.


You will bring structure, calm and energy to a busy and dynamic office environment - managing everything from complex travel and diary coordination through to a significant upcoming Sydney CBD office relocation. It is a role with real variety, real ownership and real impact from day one.


What You Will Be Doing

  • Managing complex diaries and schedules for a senior investment team
  • Coordinating international travel including multi-leg itineraries, visas and accommodation
  • Organising meetings and video conferences across multiple time zones via Zoom and Teams
  • Preparing and submitting expense reports via Concur and reconciling team spending
  • Running the day-to-day operations of the Sydney CBD office
  • Liaising with building service providers and managing office maintenance
  • Supporting the onboarding of new team members as the office grows
  • Managing correspondence and screening calls for senior stakeholders
  • Leading the upcoming Sydney CBD office relocation - a hands-on project with real ownership


What We Are Looking For

We are looking for someone who has been there before - who knows what it feels like to support senior professionals in a fast-moving, detail-driven environment. Ideally your experience will include one or more of the following:

  • EA or Office Manager experience within an investment management firm
  • Supporting senior professionals in a private equity or real estate investment business
  • EA or senior admin experience within asset management or funds management
  • Experience in a financial services or professional services firm with exposure to investment teams
  • Managing complex international travel and multi-time zone scheduling
  • Working with Concur or a similar expense and travel management platform
  • Coordinating office operations, facilities or an office relocation project
