Role Description
The Bookkeeper & Administrative Coordinator is a full-time position based in Delray Beach, FL.
This role is responsible for bookkeeping, financial recordkeeping, and administrative support across association operations. Key responsibilities include managing membership billing and invoicing, maintaining accurate financial records, supporting financial reporting, and assisting with day-to-day administrative and member coordination tasks.
This is a hybrid position. The first month is full-time in-office for training. After training, the schedule is hybrid: in-office Tuesday through Thursday, with remote work on Mondays and Fridays.
The role requires strong attention to detail, experience with QuickBooks Online and Excel, and the ability to manage both financial and administrative responsibilities.
Responsibilities
- Manage day-to-day bookkeeping in QuickBooks Online
- Process membership billing, invoicing, and payments
- Maintain accurate financial records
- Assist with monthly reporting, financial statements, and P&L preparation
- Record and post journal entries as needed
- Maintain and update member databases
- Support onboarding of new members and data entry
- Schedule meetings and coordinate calls
- Provide general administrative and operational support
- Assist with in-person events in Florida when required (all expenses covered)
Qualifications
- Experience in bookkeeping and financial recordkeeping
- Proficiency in QuickBooks Online
- Strong Excel skills
- Understanding of accounting principles and journal entries
- High attention to detail and accuracy
- Strong organizational and time management skills
- Good written and verbal communication skills
- Prior experience in bookkeeping or administrative support role
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred, or prior experience in a similar role
Additional Details
- Full-time (Monday–Friday, 9:00 AM – 5:00 PM)
- Hybrid schedule after 1-month in-office training period
- Monday & Friday: Remote
- Tuesday–Thursday: In-office (West Palm Beach, FL)
