We're looking for a proactive, resourceful, and AI-forward Tech & Marketing Operations Specialist to manage our technology projects, keep our learning platforms running seamlessly, and power the marketing engine that brings students to them
This role suits someone with a broad technical fluency who thrives on coordination, troubleshooting, and hands-on building. You don't need to be a professional developer, but you do need to be comfortable using tech tools to design, prototype, and ship real solutions.
The position will be based at the Warsaw office with a hybrid work model.
What You’ll Do
Platform & Systems Management
- Tech project management: Manage technology-related projects end to end — defining requirements, building timelines, tracking progress, and identifying improvements that serve broader project goals.
- LMS management (WordPress & LearnDash): Own the day-to-day health of our WordPress-based LMS and LearnDash plugin — user administration, course administration, email flows, bulk imports, new features, configuration, and troubleshooting.
- CRM & Marketing Automation (Salesforce & Salesforce Marketing Cloud): Act as first point of contact for Salesforce and SFMC — build and test journeys, landing pages, and lead magnets; investigate and resolve issues the Operations team can't solve; escalate and follow up when needed.
- System integration: Serve as the architect making sure LMS, CRM, Marketing Cloud, and Power BI talk to each other correctly — designing and implementing the technical architecture for data flows between platforms, including low-code integrations.
- Data integrity & reporting: Review data integrity across LearnDash, Salesforce, and Power BI; execute queries and build reports/extracts for non-technical stakeholders; handle large-scale data reviews (including million-row datasets) when needed.
- Website support: Provide general technical support for the website and coordinate with relevant resources to resolve issues.
- Compliance & security: Help bring the LMS environment up to the organization's IT and security standards, acting as liaison between the Education team, developers/cloud providers, and Security/Legal/IT.
- Campaign execution: Build, test, and launch email and lifecycle campaigns in Salesforce Marketing Cloud — segmentation, audience building, A/B tests, send scheduling, and deliverability hygiene.
- Landing pages & lead capture: Build and ship landing pages and forms based on designs provided by the internal design team; ensure correct lead routing into Salesforce, field mapping, deduplication, and follow-up automation.
- Tracking & attribution: Own the measurement layer — GA4, Google Tag Manager, conversion pixels, UTM taxonomy and enforcement — so that every campaign, source, and channel is measurable end to end.
- Lifecycle & retention automation: Design automated flows across the student lifecycle (onboarding, course progress nudges, re-engagement, certification, upsell) connecting LMS events to CRM and Marketing Cloud triggers.
- Martech stack & compliance: Own the marketing technology stack and its integrations; keep consent management, cookie compliance, and data handling aligned with privacy requirements and company policy.
- AI for marketing: Apply the same builder mindset to marketing — AI-assisted copy and creative variants, campaign localization at scale, automated performance summaries, and audience insight tooling.
- Stakeholder liaison: Serve as a primary point of contact between internal stakeholders (especially the development team) and business operations, translating business needs into functional technical specifications.
- Specification writing & QA: Write clear technical specs, replicate scenarios, and fully test in QA and production before rollout.
- Documentation: Keep the operations manual and technical documentation current and useful for the team.
- Cross-functional project leadership: Lead multi-month initiatives (e.g., new catalog builds, platform redesigns, global/language expansions, migrations) from scoping through to launch — defining KPIs, coordinating between design/development/vendors, and testing at every step.
- AI builder mindset: Go beyond being “AI-savvy” — actively explore, prototype, and build AI-powered solutions that improve how the team works and how students learn (e.g., translation tools, automation of repetitive data tasks, AI-assisted reporting).
- Tool development: Design and build practical AI tools and workflows (e.g., custom Gemini/Claude “gems”/assistants, scripts, or low-code automations) to solve real operational bottlenecks — not just use off-the-shelf AI features.
- Exploration & evaluation: Stay current on emerging AI tools and platforms relevant to EdTech operations, and proactively propose where they could create value (efficiency, personalization, translation, content scaling, etc.).
- AI project ownership: Take end-to-end ownership of AI-driven initiatives — from investigating alternatives and setting up integrations, to testing and rolling out to production (as previously done with AI-powered course translation tooling).
- Responsible use: Use AI tools in a way that's compliant with company confidentiality and data-security standards, and only with company-approved systems.
- You have a solid, broad understanding of technology and digital platforms, and you're comfortable getting hands-on rather than just directing others.
- You have 5+ years of experience managing Education and Marketing tech projects.
- You are genuinely curious about AI and see it as a tool to build with, not just a topic to discuss — you've built something with AI before (a workflow, an automation, an integration, a tool).
- You bring project management skills with a track record of leading initiatives from scope to delivery.
- You're a strong communicator who moves comfortably between technical and non-technical audiences.
- You're a proactive problem-solver, able to identify needs and find the right solutions, people, and tools without waiting to be asked.
- You understand marketing funnels and growth metrics (CPL, CAC, conversion rate, LTV) and can translate them into technical requirements.
- Hands-on experience with marketing automation and campaign tooling (Salesforce Marketing Cloud strongly preferred) is highly valued.
- Familiarity with GA4, Google Tag Manager, and conversion tracking setups is a strong plus.
- You are comfortable owning both the plumbing and the outcome — not just that the campaign sends, but that it performs.
- Experience with WordPress and/or LMS platforms (ideally LearnDash) is a strong plus.
- Familiarity with CRM systems (Salesforce/Salesforce Marketing Cloud preferred) and data/BI tools (Power BI) is highly valued.
- You're highly organized, detail-oriented, and capable of managing multiple concurrent projects.
- You're a self-starter, comfortable working independently.
- You bring a track record of success in a similar role, with hands-on experience.
