Marketing Operations & Production Coordinator - Contract

The Marketing Operations & Production Coordinator supports the planning, coordination, and execution of marketing campaigns, projects, and production initiatives across the Marketing organization. This role manages project timelines, deliverables, documentation, and cross-functional communication while also supporting the production and distribution of marketing materials.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple projects in a fast-paced environment. This individual should be able to work effectively with creative assets, production workflows, project management systems, internal partners, and external vendors to ensure projects are delivered accurately and on schedule.

Key Responsibilities

Marketing Operations & Project Coordination

• Coordinate marketing projects from kickoff through final delivery, ensuring milestones and deadlines remain on track.
• Maintain project timelines, schedules, status trackers, action items, and supporting documentation.
• Partner with Marketing, Creative, Production, and other cross-functional teams to coordinate requirements, deliverables, reviews, and approvals.
• Facilitate project meetings, document key decisions, and track follow-up actions.
• Monitor project progress and proactively identify scheduling conflicts, risks, dependencies, and blockers.
• Prepare and distribute project status updates and reporting to key stakeholders.
• Maintain organized and accurate project documentation in accordance with established processes.
• Support resource planning and workload visibility across multiple concurrent projects.
• Assist with the development and improvement of project management workflows, processes, and standards.
• Partner with the Manager to prioritize incoming project requests and operational needs.

Production Coordination & Support

• Coordinate the production, fulfillment, and distribution of marketing materials supporting campaigns and business initiatives.
• Manage production assets, inventory, specifications, and operational workflows to ensure materials are accurate and delivered on schedule.
• Review production specifications, creative files, and deliverables for accuracy, consistency, and alignment with project requirements.
• Partner with internal teams and external vendors on production planning, execution, timelines, and issue resolution.
• Maintain production documentation, tracking systems, asset organization, and reporting.
• Support day-to-day production design workflows and help ensure creative assets move efficiently from development through final execution.
• Identify opportunities to improve production processes, organization, and workflow efficiency.

Qualifications

• 2-4 years of experience in marketing operations, project coordination, creative operations, production coordination, campaign execution, or a related field.
• Bachelor’s degree or equivalent combination of education and relevant experience.
• Experience working within a corporate marketing, retail, creative, or agency environment.
• Strong project coordination, organizational, time-management, and prioritization skills.
• Ability to manage multiple projects, deadlines, and stakeholders simultaneously.
• Excellent written and verbal communication skills.
• Strong attention to detail with a focus on accuracy and follow-through.
• Proficiency with Microsoft Office and project management platforms such as Workfront, Smartsheet, Asana, Monday.com, Jira, or similar tools.
• Working knowledge of Adobe Creative Suite and familiarity with creative or production files preferred.
• Ability to adapt quickly to shifting priorities and work effectively in a deadline-driven environment.
