Production Coordinator

Employment Type: Freelance

Location: Remote – east coast hours

We are seeking two hands-on Production Coordinators to support a high-volume, global creative production workflow. This role focuses on asset tracking, review coordination, quality control, and ensuring work is accurate, complete, and ready to move through every stage of production.

This is not a traditional project management role. The ideal candidates are highly organized, detail-oriented coordinators who serve as an operational bridge between internal creative teams and external production partners. They will keep work moving by maintaining clear approval statuses, consolidating feedback, validating production details, and escalating issues when needed.

What You’ll Do

  • Manage approval workflows: Track assets awaiting review, approved work, revision requests, and required sign-offs before deliverables progress to the next stage.
  • Support preflight and quality control: Review creative assets for visible errors, inconsistencies, missing elements, and specification issues before final approval or delivery.
  • Coordinate review cycles: Organize batches of work, establish review timelines, bring together appropriate stakeholders, and deliver consolidated feedback to partners within agreed timeframes.
  • Validate production details: Confirm deliverable lists, dimensions, file formats, copy, links, and other inputs before work is released to vendors or production teams.
  • Traffic information and feedback: Consolidate input into clear, actionable direction for production partners while maintaining accurate records of approvals and revisions.
  • Prioritize and escalate effectively: Resolve routine questions independently and route higher-impact issues to the appropriate creative or production lead.
  • Maintain production visibility: Keep trackers and documentation current so internal teams and external partners have a clear view of status, ownership, and next steps.

What You’ll Bring

  • Exceptional attention to detail and a strong sense of urgency.
  • Comfort managing a high volume of small, interconnected production tasks.
  • Ability to quickly learn workflows, identify gaps, and recognize when an asset or request requires further review.
  • Clear, concise communication skills for coordinating across internal stakeholders and external vendors.
  • Sound judgment when prioritizing work and escalating issues.
  • Experience in studio operations, creative production, design production, agency traffic, or a related environment.

Preferred Background

A background in creative studio operations, agency traffic, design production, or asset management is strongly preferred. A designer’s eye is a plus—not because this role will create designs, but because the coordinator should be able to identify inconsistencies in layout, copy, sizing, hierarchy, and overall asset execution.
