BTV Marketing Group is seeking an Associate Director, Client Partner Service and Project Management to work closely with our partner services team, owning the day-to-day strategic direction, organization, and management of communications, projects, and deliverables for our client partners and internal teams.
You will help execute our strategies and campaigns successfully by liaising between the VP Client Partner Service, Client Partner Contacts, and the BTV Delivery team.
This is a hybrid role with 1-2 weekly in-office days, plus select in-person client partner meetings and other events representing BTV in and around the community.
Salary range: $60,000 - $70,000

Account Direction (50%)
Core Account Direction
- Serve as the client partner-facing point of contact on your primary accounts, communicating proactively on account status while collaborating with VP
- Work with delivery production teams to execute against client partner goals within time and budget constraints
- Review budgets and maintain accountability for adherence
- Collaborate with the team on creative solutions to business challenges
- Host weekly, biweekly, or monthly client partner account meetings
- Manage quarterly business reviews and reporting processes
- Maintain working knowledge of marketing reporting for traditional and digital marketing verticals (paid, earned, owned media)
- Bring empathy and flexibility to team and client partner circumstances; adapt as needed to get the job done
Meetings & Status Review Responsibilities
- Host internal calls to review project statuses across teams
- Lead client partner-facing meetings to review project status, involve stakeholders, and escalate as needed
- Facilitate internal and external kickoff meetings, ensuring materials, decks, Q&A, and access needs are met on both sides
- Proactively communicate and adjust timelines when access or creative delivery falls behind
File & Documentation Management
- Maintain organization of files within Google Drive; audit folder structure as needed
- Keep track of strategies, client partner assets, paid media budgets, and documentation
Project Management (50%)
Task & Workflow Management
- Utilize Asana for task management across accounts and projects
- Collaborate with team members to ensure compliance with deliverable due dates and up-to-date project time tracking
- Adjust and reassign tasks as project scope evolves
- Build and maintain recurring automated reminder workflows
Time & Budget Tracking
- Run quarterly time tracking per client partner and reconcile with VP Client Partner Service
- Close out old tasks and outstanding time quarterly
- Track hours spent YTD for web client development partners to ensure packages stay within scope
- Analyze team-wide time-tracking submission patterns to identify trends (e.g., on-time submission rates, batch-logging behavior) and inform performance conversations
Web Development Client Partner Oversight
- Ensure audits are scheduled for client partners
- Review web client partner packages, hosting, and responsibilities
- Periodically check client partner websites, prioritizing low-traffic/low-need accounts
- Maintain a quarterly web audit system across web retainer client partners
Business Development Support
- Work with the Partner Development (PD) team to track business deals and update CRM
- Own the weekly pipeline report, ensuring accuracy against CRM data
- Send and track follow-up reminders for the sales team
- Task out audits and prospecting work to the internal team
- Draft SOWs with the internal team for PD review and prospect delivery
- Track SOW progress through signature via DocuSign, coordinating with PD/Operations
- Coordinate RFP responses: assign ownership, set timelines, and maintain strict adherence to non-negotiable deadlines
Contractor Relationships
- Onboard new contractors — file storage, tools, and project protocol
- Track contractor hours against retainer/project cost and flag status to relevant stakeholders
- Maintain a working knowledge of contractor availability and skillsets
- Assist in sourcing contractors as needed
Internal Team Support
- Help locate files, emails, documents, tasks, and messages across systems
- Assist in curation of BTV marketing collateral (newsletter, emails, events, award submissions)
- Support BTV's own marketing project management and website
- Manage calendar scheduling across internal and external meetings, balancing priority and availability
Helpful Attributes
- General computer/file literacy — converting between file formats (PDF/PNG), understanding print file requirements (300 DPI, correct format) before sending to a printer, and adapting formatting on the fly during RFPs
- Prior task management software experience (Asana or equivalent) — easy to pick up with any prior exposure, but some baseline is expected given the PM scope of this role
Skills/Experience
- 2+ years of marketing account or project management experience
- 3+ years of marketing experience
- Experience with project management and agency communication tools (Asana, Slack, Google Meet/Zoom, Google Drive suite)
- Ability to form insights from client partner reporting and time-tracking data, and translate them into actionable feedback for both agency and client partner teams
- Proven ability to manage multiple complex client partner accounts and set clear expectations across client partner and internal teams
- Ability to foresee challenges before they surface and proactively propose solutions — for client partner accounts, internal workflows, and cross-functional initiatives alike
- Proven ability to build and maintain productive, collaborative relationships across internal account teams
- Systems-thinking mindset: demonstrated ability to build reusable processes and automations (reporting, reminders, SOPs) rather than solving problems one-off
- Comfort leading or contributing to emerging-technology initiatives (e.g., AI tooling) alongside core account and project management responsibilities
