POSITION OVERVIEW
The IT Manager is our internal technology authority, the person who owns the systems and workflows that keep the agency running. At the heart of this role is deep ownership of our Microsoft 365 and SharePoint environment: not just administering it, but governing it well, cleaning up and structuring it thoughtfully, and unlocking capabilities that make the whole agency work better. You'll also own our SaaS portfolio and serve as the primary liaison with our Managed Service Provider (MSP), who handles infrastructure, security monitoring, and 24/7 support.
Day to day, you'll provide friendly on-site support while working at a higher level to drive process improvement and technology efficiency. This role blends hands-on problem solving with real systems thinking, ideal for someone equally comfortable resolving an issue on the spot and shaping what the business needs next. Because you'll be our only in-house IT resource, self-sufficiency and genuine platform expertise matter more here than in a role with a team to lean on.
Job Responsibilities
Microsoft 365 & SharePoint (the core of the role)
- Own, administer, and continuously improve our Microsoft 365 environment, with genuine depth in SharePoint architecture, permissions, governance, and adoption
- Bring order to an environment that grew organically, standardizing structure, tightening permissions, and moving toward smarter, metadata-driven organization
- Identify and put to work M365 capabilities we're underusing to improve collaboration and efficiency
Process Improvement & Forward Thinking
- Look beyond keeping things running to making them better, using tools like Power Automate and Power BI to streamline workflows and reporting
- Partner with departments to spot inefficiencies and deliver solutions, bringing ideas to the table before problems arise
- Connect our tools and systems so the agency runs more smoothly and cohesively
MSP Relationship Management
- Serve as the primary liaison with our MSP, reviewing Statements of Work, holding them accountable to service commitments, and representing the agency in performance reviews
- Escalate and track open issues to resolution, and help bring appropriate work in-house over time
- Lead active initiatives including Intune/MAM implementation, BYOD rollout, and ongoing cybersecurity improvements
SaaS & Software Portfolio
- Own the full software portfolio, auditing for redundancy, eliminating unused licenses, closing gaps, and ensuring every platform earns its place
- Manage vendor relationships, renewals, and contract terms
Documentation & Knowledge Management
- Build and maintain clear IT documentation and SOPs so institutional knowledge lives with the organization, not any one person
- Keep documentation current as systems and processes evolve
Asset Management & Device Lifecycle
- Maintain an accurate IT asset inventory and manage the full device lifecycle, from procurement and configuration through retirement
On-Site Support & Employee Experience
- Provide responsive, friendly support for devices, peripherals, and workplace technology
- Own the new-hire technology experience so every employee is set up and ready from day one
Qualifications & Skills
Required
- Strong, hands-on Microsoft 365 administration experience with real depth in SharePoint, plus Teams, Entra ID, and Intune, this is the heart of the role, and genuine platform fluency (not just surface familiarity) is what we're looking for. Microsoft certifications a plus.
- Experience managing an MSP or vendor relationships, including contract review, accountability, and escalation
- Experience auditing and managing a multi-platform SaaS environment
- A track record of not just maintaining systems, but improving them, process improvement, automation, or reporting work you've driven yourself
- Experience building and maintaining IT documentation and SOPs
- Strong project management and follow-through across competing priorities
- An exceptional communicator who can make technical things clear for non-technical people at every level
- Solid grounding in cybersecurity best practices, endpoint, and device lifecycle management
- 5+ years in IT, with time spent as the lead or go-to technical resource, what matters most is demonstrated ownership of a Microsoft 365 environment, not just years on the job
- Bachelor's in IT, Computer Science, or related field, or equivalent hands-on experience
Nice to Have
- Experience administering Google Workspace (we have a Google-to-M365 transition on the horizon)
- Hands-on experience with Power Automate, Power BI, or similar automation and reporting tools
- Familiarity with Intune/MAM, BYOD, and Cisco Duo
- Experience in advertising, marketing, or creative services
- Hands-on experience with AI tools and implementation
- Relevant certifications (Microsoft, cybersecurity, project management)
