Our client has been in business for over 30 years and continues to experience steady growth. They are committed to providing top-notch service to their clients and are looking for a detail-oriented Bookkeeper / Accounting Administrator to join their team.
The ideal candidate will be responsible for maintaining accurate financial records, managing accounts payable and receivable, supporting payroll activities, and ensuring compliance with financial and regulatory requirements. This role will work closely with various departments to support General Ledger (G/L) and account analysis, as well as day-to-day company operations.
Key Responsibilities
- Assist with payroll processing, including payments to subcontractors.
- Prepare and issue approximately 150 subcontractor checks twice monthly through QuickBooks.
- Manage payroll-related information through ADP and Integrity portals.
- Prepare and maintain I-9 and W-2 documentation.
- Record vendor bills and process payments for all types of vendors through QuickBooks Desktop.
- Prepare and issue client invoices and accurately record customer payments in QuickBooks.
- Prepare weekly Accounts Receivable (A/R) reports for management.
- Follow up with clients regarding outstanding balances and send collection emails as needed.
- Maintain Sunbiz records and related company information.
- Prepare and file monthly sales tax liability returns and reports.
- Monitor accounting emails and take appropriate action on financial and administrative matters.
- Support company operations and administrative tasks as needed.
- Prepare professional Word documents, including bids and other business documentation.
- Track accounts payable (A/P) and accounts receivable (A/R).
- Prepare and file bank reconciliations for all company bank accounts.
- Provide administrative and operational support to the company.
- Provide personal administrative/secretarial support to the CEO.
- Perform other duties as assigned.
- 1-5+ years of bookkeeping experience; strong bookkeeping experience is required.
- 5 years of bookkeeping experience preferred/required.
- Proficiency with QuickBooks Desktop is required.
- Strong hands-on experience with:
- Accounts Payable (A/P)
- Accounts Receivable (A/R)
- Payroll
- General Ledger (G/L) preferred
- Bank Reconciliation
- Experience with ADP and payroll-related systems preferred.
- Strong Microsoft Office Suite skills.
- Excellent attention to detail and organizational skills.
- Ability to manage multiple accounting and administrative responsibilities in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to work independently and meet deadlines.
- Mandarin Chinese or Spanish language skills are preferred.
- Pay: Starting at $23.00 per hour
