Office Assistant - Belting

This position is ideal for someone who enjoys working in a fast-paced industrial environment and can efficiently coordinate administrative functions supporting the installation, maintenance, repair, and fabrication of heavy conveyor systems and related equipment.
Essential Duties & Responsibilities
- Answer incoming calls and respond to customer inquiries regarding conveyor belting, heavy conveyor equipment, maintenance services, and ongoing projects.
- Create and process quotes, work orders, purchase orders, invoices, and service documentation.
- Coordinate schedules for field service technicians, conveyor belt crews, millwrights, welders, and project personnel.
- Maintain project files, customer records, safety documentation, and equipment service records.
- Support procurement activities by ordering conveyor belting, pulleys, idlers, bearings, motors, gearboxes, dust collection components, and other industrial equipment.
- Track material deliveries and communicate with vendors, suppliers, and freight carriers.
- Assist with payroll processing, timecard collection, and employee record maintenance.
- Prepare reports, spreadsheets, and project documentation for management.
- Coordinate travel arrangements, safety training, certifications, and employee onboarding activities.
- Support accounts payable and accounts receivable functions.
- Maintain office supplies and ensure efficient daily office operations.
- Assist project managers with job costing, project tracking, and customer communications.
- High school diploma or GED required; Associate's degree preferred.
- Minimum 3 years of administrative, office management, or customer service experience.
- Experience supporting construction, industrial maintenance, manufacturing, material handling, conveyor systems, or heavy equipment operations preferred.
- Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Experience with ERP, accounting, or project management software is a plus.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- High level of professionalism, accuracy, and attention to detail.
- Heavy conveyor equipment and conveyor belting operations.
- Bulk material handling systems.
- Industrial construction or maintenance environments.
- Cement plants, aggregate facilities, mining operations, or manufacturing facilities.
- Purchasing industrial parts and equipment.
- Scheduling field service and construction crews.
- Job costing and project administration.
- Ability to communicate effectively with field personnel working around heavy conveyor equipment, rotating machinery, and industrial processing systems.
- Comfortable working in a fast-paced environment supporting multiple projects and service operations simultaneously.
