Staff Accountant

Vanguard is a growing electrical contracting firm specializing in low-voltage temperature controls and Building Management Systems (BMS). Founded in New York City in 2007, we operate across the New York metro area and Texas — including Dallas–Fort Worth, Austin, and San Antonio — and deliver large-scale data center projects. We run on Sage Intacct (ERP), Sage Construction Management, and Miter (payroll and expense management). As we scale, we are building a best-in-class, fully in-house finance team, and this is a ground-floor seat to help shape how it runs.

Position Summary

We are seeking a Staff Accountant with hands-on Sage Intacct experience to help own the general ledger, reconciliations, credit card and expense management, and the data flow between Miter (payroll), Sage Intacct (ERP), and Sage Construction Management. This is a professional-track role central to keeping our books accurate and our month-end close reliable — with a clear path to grow toward Senior Accountant as the company scales.

Key Responsibilities

• Prepare and post journal entries; maintain general ledger accuracy and support a timely, reliable month-end close.
• Own reconciliations across bank accounts, company credit cards, and key balance sheet accounts.
• Own day-to-day credit card and employee expense management — enforcing job/cost-code coding, receipts, approvals, and spend policy, reconciling the credit card liability, and booking accruals at close (working in Miter and Sage Intacct).
• Own the flow and reconciliation of credit card data from Miter into Sage Intacct; investigate and resolve sync discrepancies.
• Manage sales-and-use tax by project — maintain exemption, resale, and capital-improvement certificates; determine taxability of purchases and billings; accrue and reconcile use tax; and support multi-state (NY/TX) sales/use tax filings.
• Record and reconcile job-cost transactions; support project accounting and work-in-progress (WIP) schedules.
• Assist with accounts receivable and AIA/progress billing as needed.
• Prepare account analyses and supporting schedules; assist with audit, review, and tax requests.
• Help reengineer and document accounting processes to improve accuracy, controls, and scalability.

• Bachelor's degree in Accounting or Finance required.
• Hands-on Sage Intacct experience preferred — you should be comfortable working in the GL, reconciliations, and reporting within Intacct on day one.
• 2–4 years of general accounting experience; construction or project-based industry experience strongly preferred.
• Solid understanding of general-ledger accounting, reconciliations, and the month-end close.
• Experience with Miter, Sage Construction Management, or other construction/payroll systems a plus; genuine interest in system integrations and process improvement.
• Strong Excel skills and a systems-minded, detail-oriented approach.
• Working knowledge of construction sales-and-use tax and exemption-certificate management a strong plus.
• CPA or active CPA candidacy a strong plus
