Construction Executive Legal Assistant/ Executive Assistant

Location: West Palm Beach, FL 33401

Schedule: Full-Time | 100% Onsite

Compensation: $43–$57/hour DOE | Direct Hire compensation may range approximately $90,000–$120,000 DOE

AppleOne is working with a highly respected leader in the construction industry to identify an experienced, polished, and professional Paralegal to join its Legal Department in West Palm Beach.

This is a high-priority opening, and our client is especially interested in candidates who are available to start quickly.


The selected Paralegal will work full-time in the West Palm Beach office and provide direct support to the company's General Counsel for the Southeast/South Florida region. This is an excellent opportunity for an experienced legal professional who enjoys working in a fast-paced corporate environment and supporting sophisticated construction-related legal matters.

Candidates with experience supporting construction, architecture, engineering, real estate, development, or other related industries are strongly preferred.


Key Responsibilities

  • Provide comprehensive paralegal support to General Counsel and members of the Legal Department.
  • Manage the collection, organization, and review of documents responsive to subpoenas, discovery requests, and other legal matters.
  • Perform privilege reviews and assist with document productions and opposing counsel reviews.
  • Coordinate E-Discovery matters and serve as a liaison between Legal, IT, operations, outside counsel, and third-party vendors.
  • Manage and implement legal holds using internal E-Discovery systems.
  • Coordinate with Human Resources regarding labor and employment-related legal matters.
  • Assist with E-billing systems and coordinate with outside legal service providers.
  • Maintain Legal Department document management, filing, and recordkeeping systems.
  • Provide contract documentation support, including document comparisons, preparation of contracts and exhibits, and coordination of documents for execution.
  • Prepare and upload documents through DocuSign as needed.
  • Track professional licenses and renewals for supported attorneys.
  • Track outstanding transfer bonds and coordinate their return once claims have been resolved.
  • Prepare Satisfactions of Lien, Claims of Lien, releases, and related construction/legal documentation.
  • Maintain and track Notices to Owner and Notices of Commencement.
  • Conduct public records research, recording, and review.
  • Prepare and distribute weekly and monthly legal reports, agendas, and tracking documents.
  • Provide additional administrative and legal support to General Counsel and the Legal Department as needed.

Qualifications

  • Bachelor's degree required.
  • Minimum of 4+ years of relevant paralegal/legal experience preferred.
  • Previous experience working within a corporate legal department, law firm, or similar professional legal environment.
  • Construction industry legal/paralegal experience/Executive Assistant is highly preferred, particularly experience involving construction contracts, liens, Notices to Owner, Notices of Commencement, claims, discovery, or related matters.
  • Experience within construction, architecture, engineering, real estate, or development is highly desirable.
  • Strong knowledge of legal research tools and methods, including platforms such as Westlaw, LexisNexis, PACER, or similar systems.
  • Working knowledge of E-Discovery procedures and software, such as Relativity, Concordance, Summation, or comparable platforms.
  • Procore experience is a plus.
  • Advanced proficiency with Microsoft Word, Excel, Outlook, PowerPoint, database management, and internet research.
  • Strong document management, organizational, and administrative skills.
  • Excellent written and verbal communication skills.
  • Must be polished, professional, articulate, and comfortable working directly with senior legal and executive leadership.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong attention to detail with the ability to manage multiple priorities and deadlines in a fast-paced environment.
