Schedule: Monday-Friday, 7:15 AM - 4:30 PM (40+ hours per week)
Position Summary
We are seeking a dependable, highly organized, and detail-oriented Administrative Assistant to support our administrative team and serve as the primary backup for our receptionist. This role is ideal for a professional who thrives in a fast-paced environment, enjoys providing exceptional internal and external customer service, and is comfortable balancing administrative responsibilities with hands-on support throughout our facility.
This position requires a proactive individual who can effectively manage multiple priorities while maintaining accuracy, professionalism, and a positive team-focused attitude.
Key Responsibilities
Reception & Front Office Support
- Serve as the primary backup for the Receptionist position.
- Provide daily lunch coverage and additional coverage as needed for PTO, planned absences, and unexpected leave.
- Answer, screen, and direct incoming calls through the main switchboard in a professional manner.
- Process and distribute customer purchase orders.
- Create and manage purchase requisitions for company purchases.
- Prepare and process expense reports, including company fuel card expenses and employee reimbursement requests.
- Order, track, and maintain inventory of office supplies, ink cartridges, and other administrative resources.
- Coordinate meeting room schedules and ensure meeting spaces are properly prepared before and after meetings.
- Assist with company events, meetings, and special projects as assigned.
- Provide administrative support to various departments as needed.
- Monitor, order, and replenish vendor supplies across all company facilities, including meeting rooms, kitchens, and drink coolers.
- Maintain organization and distribution of supplies throughout the campus.
- Transport and restock cases of water, beverages, and other materials as required.
- Walking regularly between multiple buildings on campus.
- Standing and moving throughout the workday.
- Lifting, carrying, and relocating office and facility supplies.
- Performing light to moderate physical tasks associated with supply management and event support.
- Previous administrative support experience required.
- Prior multi-line switchboard or receptionist experience preferred.
- Strong organizational, time-management, and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office applications and standard office equipment.
- Ability to work independently while maintaining a collaborative, team-oriented approach.
