Administrative Assistant
Job Responsibilities
The Administrative Assistant provides day-to-day administrative and clerical support to help ensure the office operates efficiently and employees receive timely, professional service.
- Perform a variety of general clerical and administrative duties, including copying, faxing, mail distribution, filing, and document management.
- Maintain confidentiality when handling employee, payroll, and other sensitive information.
- Assist Human Resources with onboarding activities and processing new hire documentation.
- Manage and maintain employee timekeeping records to support accurate weekly payroll processing.
- Serve as an initial point of contact for employees with administrative questions or issues, providing assistance or directing inquiries to the appropriate department.
- Greet and assist visitors in a professional and welcoming manner.
- Perform accurate and timely data entry and maintain organized records.
- Answer and direct incoming phone calls promptly, using good judgment to prioritize and distribute messages appropriately.
- Manage multiple tasks, projects, and priorities while maintaining accuracy and meeting deadlines.
- Maintain a professional, positive, and service-oriented attitude when interacting with employees, customers, visitors, and business partners.
- Provide administrative support to other departments and locations as needed.
- Demonstrate a willingness to learn, develop new skills, and expand knowledge of the traffic control and construction industry.
- Maintain reliable attendance and demonstrate a dependable, self-motivated approach to work.
- Perform other duties and responsibilities as assigned by leadership.
- Required: High school diploma or equivalent.
- Preferred: Associate degree or some college coursework.
- 2+ years of administrative or office support experience.
- Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
- Familiarity with standard office equipment and administrative procedures.
- Strong attention to detail and commitment to accuracy.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- Construction or related industry experience is a plus.
- Competitive hourly pay based on experience.
- Overtime pay for hours worked over 40 hours per week, in accordance with applicable law.
