What You'll Be Doing:
- Coordinate multiple cross-functional business projects, tracking milestones, action items, owners, deadlines, and status updates
- Schedule project and leadership meetings, prepare agendas and materials, document meeting notes, and distribute action items
- Follow up with department leaders to maintain accountability and keep projects moving forward, focusing on process improvement and project coordination
- Support operational improvement initiatives, including process documentation, workflow updates, and implementation of new software and systems
- Assist with system testing, document feedback, and coordinate communications across departments
- Prepare reports, presentations, summaries, and internal communications for leadership
- Support leadership priorities, strategic initiatives, follow-ups, and company-wide projects
- Coordinate and continuously improve the employee onboarding process, including schedules, equipment, system access, orientation, checklists, communications, and follow-up
- Gather onboarding feedback and identify opportunities to improve the new hire experience
- Coordinate company culture and employee engagement initiatives, including appreciation events, recognition programs, holiday celebrations, volunteer opportunities, and internal communications
- Maintain project trackers, meeting documentation, shared files, and operational records
- Assist with vendor coordination and other operational requests as needed
Who We're Looking For:
- Bachelor's degree preferred
- 3–7 years of experience in operations, project coordination, administration, HR coordination, business support, or a related role
- Experience with CRM systems, preferably Salesforce, ERP or similar platform preferred
- Proficiency with Microsoft Office Suite, including Outlook, SharePoint, Word, Excel, PowerPoint, and Teams
- Familiarity with AI platforms such as ChatGPT, Claude, or Copilot
- Strong organizational, time management, and problem-solving skills
- Excellent written and verbal communication skills with a high level of attention to detail and accuracy
- Ability to manage multiple priorities and work effectively in a fast-paced environment
- Self-starter who can work with minimal supervision and comfortably support leaders across departments
- Professional, confidential, and dependable demeanor
- Experience with process documentation, meeting facilitation, event planning, employee onboarding, and internal communications
