As our IT Systems Administrator, you keep the company's internal technology running. That means our business software and online (SaaS) applications, employee computers and mobile devices, hardware setup and repairs, user accounts and access, and IT security policy. This role reports to the Head of Technology. Your job is to keep our staff, devices, and business systems working smoothly and securely.

At its core, this role is centered on administering, configuring, and connecting our core business systems—Salesforce, Rippling, Google Workspace, Jira, and our cloud phone system—and managing everything surrounding employee access and identity. You will serve as the owner of access control, identity governance, license optimization, and seamless employee onboarding and offboarding.

You are also our main point of contact with our outside cybersecurity team. You coordinate their work, track what needs to be fixed, and help keep us compliant.

This role does not manage our AWS cloud servers day to day — that work is handled by the DevOps team in Engineering. For AWS, you set and review user access and security rules and work with the DevOps team on security and compliance.

This is a hybrid position in our downtown Buffalo office, offering flexible core business hours Monday through Friday and one work-from-home day per week. The salary range is up to $64–$78k per year, based on experience, plus an annual bonus opportunity.

What You’ll Do

  • Core Systems Administration & Integration: Administer and connect our core business software applications, including Salesforce, Rippling, Google Workspace, Slack, AirCall, Jira, and Confluence.
  • Identity, Access & Lifecycle Management: Lead end-to-end user account lifecycle management (onboarding, offboarding, role-based access control, and single sign-on across all applications).
  • License & Asset Management: Manage software licenses—adding/removing seats, executing renewals, controlling SaaS costs, and maintaining an accurate inventory of IT assets.
  • Device Lifecycle & MDM: Manage corporate devices (macOS and Windows) through procurement, imaging, deployment, security policy enforcement via MDM, software updates, and RMA processing.
  • Technical Support: Deliver technical support to internal team members at all levels, troubleshooting hardware, software, and local network issues.
  • Cybersecurity & Compliance: Act as the primary contact with our external security partner—coordinating reviews, remediating alerts, enforcing security policies, and supporting SOC 2 compliance audits.
  • AWS Security Policy: Set and review user access policies and security rules in AWS IAM, partnering with the DevOps team on compliance.
  • Vendor & Process Management: Manage IT vendors across phone, software, hardware, and security domains while documenting procedures and automating routine IT workflows.

  • Networking & Infrastructure: TCP/IP, DNS, DHCP, VPN, SSL/TLS Certificates
  • Automation: Bash, Python, or PowerShell

Required

What We’re Looking For

  • 2–4 years of experience in corporate/internal IT, systems administration, or IT support.
  • Proven experience scripting and building IT automations (using Bash, Python, PowerShell, or platform APIs) to eliminate repetitive tasks and streamline workflows.
  • Hands-on experience administering core business SaaS tools (Google Workspace, Salesforce, Rippling, or similar).
  • Strong understanding of identity management, user access control, SSO, and user lifecycle workflows (onboarding/offboarding).
  • Experience managing endpoints via MDM, imaging, hardware lifecycle, and RMA.
  • Solid networking basics (TCP/IP, DNS, DHCP, VPN, TLS).
  • Strong troubleshooting skills and self-directed problem-solving capability.
  • Clear communication skills with both technical and non-technical staff.

Nice to Have

  • An information security background — experience working with (or as the contact for) a security team or provider; a security certification such as Security+ is a plus.
  • Experience with SOC 2 or similar compliance programs.
  • Familiarity with HIPAA — we handle protected health information (PHI).
  • Salesforce administration experience.
  • Stripe Billing or other payment-platform experience.
  • Experience with Rippling (HR, device management, and single sign-on).
  • Familiarity with access-policy concepts in AWS or another cloud.
  • Scripting for automation (Bash, Python, or PowerShell).
  • Familiarity with ITIL practices.
  • Experience supporting a remote or distributed workforce.
  • Vendor and IT asset management experience.
