Job Overview
We're looking for an experienced Revenue Cycle Management (RCM) / Billing Manager to lead the billing and collections function for our pediatric outpatient therapy clinic, serving speech, occupational, and physical therapy patients. This is a hands-on role for someone who knows therapy billing inside and out, from claims submission through denial resolution, and who can help us keep our revenue cycle clean, timely, and organized as we grow.
You'll be the go-to person for anything related to getting our claims out the door correctly and getting them paid. You'll work closely with our front desk, therapists, and leadership team to make sure billing runs smoothly behind the scenes so our clinical staff can stay focused on patient care.
Responsibilities
- Manage the end-to-end billing cycle for speech, occupational, and physical therapy services, including charge entry, claims submission, and payment posting
- Submit clean claims to commercial insurance, Medicaid, and other payers, and monitor claims through adjudication
- Review, research, and resolve denied or rejected claims — identify root causes, correct and resubmit, and track denial trends over time
- Manage accounts receivable and follow up on unpaid or aged claims to keep days-in-AR low
- Work patient collections, including statements, payment plans, and answering billing questions from families
- Verify insurance eligibility and benefits, and confirm authorizations/referrals are in place before or during care as needed
- Stay current on pediatric therapy billing requirements, including CPT/HCPCS coding for speech, OT, and PT services, modifiers, unit limits, and payer-specific rules
- Monitor and troubleshoot issues in the practice management/EHR and clearinghouse systems related to billing and claims
- Help build and refine internal billing workflows, documentation, and best practices as the clinic grows
- Serve as a resource for front office and clinical staff on billing-related questions, documentation requirements, and payer policies
- Ensure compliance with HIPAA and payer billing regulations in all billing activities
Requirements
- 3+ years of experience in medical billing/RCM, ideally within outpatient therapy (speech, OT, PT) or pediatric services
- Solid understanding of the full revenue cycle: charge capture, claims submission, payment posting, denial management, and collections
- Working knowledge of CPT/HCPCS coding for therapy services, common modifiers, and payer-specific billing rules (Medicaid experience is a strong plus given our pediatric population)
- Experience with practice management/EHR and clearinghouse software
- Strong analytical skills, comfortable digging into a denial
- Organized and detail-oriented, with the ability to manage multiple claims, payers, and deadlines at once
- Clear communicator who can explain billing issues to families, therapists, and leadership in plain language
- Comfortable working independently and owning the billing function, while also being a team player who supports clinical staff
- Prior experience in a management or lead billing role is a plus, but we're also open to a strong senior biller/coder ready to step into more ownership
