Description & Requirements

The Sales Operations Specialist serves as a critical link between sales, customer service, purchasing, inventory management, and supplier operations. This role is responsible for optimizing sales processes, maintaining data integrity within CRM and ERP systems, managing sales tools and reporting, and providing operational support that enables the sales team to maximize efficiency and revenue growth.

In addition to sales operations responsibilities, this position supports daily commercial activities including customer service, vendor-managed inventory (VMI) programs, supplier purchase order management, order tracking, pricing administration, and cost management. The role ensures accurate communication of market and supplier updates, enabling the sales team to respond proactively to changes in lead times, costs, and product availability.

Responsibilities Include

Sales Operations & Reporting

  • Maintain CRM and ERP data integrity, ensuring customer, pricing, inventory, and sales information is accurate and current.
  • Develop and distribute sales performance reports, dashboards, and business analytics.
  • Monitor sales activity, pipeline metrics, and key performance indicators (KPIs).
  • Support sales forecasting, territory management, and revenue planning initiatives.
  • Identify and implement process improvements that enhance sales productivity and operational efficiency.
  • Assist with system administration, user support, and sales tool enhancements.

Customer Service & Commercial Support

  • Learn and support customer service functions to ensure timely and accurate order processing.
  • Serve as a resource for resolving customer inquiries related to orders, inventory availability, lead times, and pricing.
  • Coordinate with customer service, sales, purchasing, and operations teams to support exceptional customer experiences.
  • Assist with onboarding new customers and maintaining customer account information.

Inventory & Purchasing Coordination

  • Support Vendor Managed Inventory (VMI) programs by monitoring inventory levels, usage trends, and replenishment requirements.
  • Place and manage vendor purchase orders to maintain adequate inventory and meet customer demand.
  • Track supplier order status and confirm expected shipment dates.
  • Communicate inventory risks, shortages, and supply chain issues to internal stakeholders.
  • Collaborate with suppliers to improve order accuracy, availability, and service performance.

Pricing & Cost Management

  • Maintain product cost and customer pricing records within company systems.
  • Review supplier cost changes and assist in updating sales pricing as required.
  • Support margin analysis and pricing initiatives to ensure profitability objectives are met.
  • Identify discrepancies in costing, pricing, and order execution and coordinate corrective actions.
  • Assist sales leadership with pricing analysis and customer-specific pricing programs.

Communication & Sales Enablement

  • Serve as a central communication point for operational updates affecting the sales team.
  • Provide timely updates regarding supplier lead times, product availability, price increases, and market changes.
  • Coordinate communication between suppliers, customer service, operations, and sales representatives.
  • Support the sales team with accurate data, product information, and operational insights needed to drive customer growth.

The Ideal Candidate Will Have

  • Associate's or Bachelor's degree in Business, Supply Chain, Sales, Operations, or related field preferred.
  • Experience in sales operations, customer service, purchasing, inventory management, or business analytics preferred.
  • Strong analytical and problem-solving skills.
  • Proficiency with CRM, ERP, Microsoft Excel, and reporting tools.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and relationship-building abilities
