SUMMARY Supports claims operations by maintaining and organizing accurate claims data in collaboration with the Claims Manager and Director of Risk Management. Creates routine and ad hoc reports, dashboards, and summaries to support reporting and decision-making. Reviews data for accuracy and completeness, resolving errors and inconsistencies as needed. Tracks claims activity trends and processes high-risk activity and travel requests following established procedures. Maintains organized records to support audits, legal requests, and public records requirements. Helps ensure timely, accurate information is available to support effective claims management across the District.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

Collaborate with Claims Manager and Director of Risk Management to refine reporting specifications, define required data fields within the risk management information system (RMIS), and improve the consistency and functionality of claims data and reporting tools.


Standardize incoming data (incident reports, medical invoices, internal logs) by applying naming conventions, data validation rules, and controlled vocabularies to support accurate reporting.


Create analysis-ready datasets by transforming raw RMIS extracts (e.g. Excel files) using established data-cleaning routines, field mapping, normalization, controlled vocabulary alignment, and key-field matching.


Assist in organizing, sorting, filtering, and coding claims data to support operational reporting needs.


Perform routine data audits to identify missing information, duplicate records, or data inconsistencies.


Run scheduled (weekly, monthly, quarterly) and ad-hoc reports using established templates, and compile spreadsheets, lists, and charts for the Claims Manager or Director of Risk Management.


Analyze claims data to identify patterns, root causes, and emerging risks, and communicate findings to the Claims Manager and Director of Risk Management.


Track and monitor trends in incident types, common injuries, and reporting patterns using established spreadsheets and district templates.


Prepare data reports and visualizations (charts, graphs, tables) that clearly communicate trends and respond to leadership requests regarding claims activity and losses in the district.


Review and process high-risk activity (HRA) and travel requests in a timely manner in accordance with established procedures. Maintain shared tracking tools, document follow-up actions and materials received and prepare summary information for Claims Manager and Director of Risk Management and cross-functional partners.


Maintain retention-ready electronic records by applying consistent file structures, metadata standards, and appropriate access controls within shared repositories. Assemble data packets and structured exports to support audits, legal discovery, and Colorado Open Records Act (CORA) responses under the direction of the Claims Manager and Director of Risk Management, ensuring completeness and data privacy compliance.


Perform other duties as assigned.


EXPERIENCE: Three (3) years' of experience in data heavy administrative support, claims/benefits operations, analytics support, or related fields with strong Excel proficiency.


EDUCATION AND TRAINING: High School degree required. Post-secondary education, including two years towards a Bachelor's degree and/or an Associate's Degree is strongly preferred.


CERTIFICATES, LICENSES & REGISTRATIONS: None.


KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of claims administration processes, risk management practices, and the use of risk management information systems (RMIS) within a public sector or educational environment, including general familiarity with workers' compensation, liability, and incident reporting requirements. Knowledge of data governance principles, record retention standards, and public records requirements, including the Colorado Open Records Act (CORA) and data privacy expectations applicable to school districts. Knowledge of basic analytical concepts, reporting methodologies, and common metrics used to evaluate claims activity, losses, and risk trends. Skilled in organizing, cleaning, standardizing, and validating data from multiple sources such as incident reports, medical invoices, internal logs, and RMIS extracts to produce analysis ready datasets. Skilled in using spreadsheet and reporting tools (e.g., Excel) to sort, filter, code, analyze, and visualize claims data, including the preparation of charts, tables, and summary reports for operational and leadership audiences. Skilled in maintaining structured electronic records, applying consistent naming conventions, metadata standards, and access controls to support audit readiness, legal discovery, and records requests. Ability to analyze claims and incident data to identify patterns, trends, and potential risk indicators and to communicate findings clearly to the Claims Manager, Director of Risk Management, and other stakeholders. Ability to perform routine data audits, identify data quality issues, and follow established procedures to resolve missing, duplicate, or inconsistent records. Ability to manage multiple reporting cycles, respond to ad hoc data requests, and support time sensitive activities such as high risk activity reviews, travel tracking, and records requests while maintaining accuracy, confidentiality, and attention to detail.

PHYSICAL DEMANDS: Ability to focus on objects at varying distances and distinguish between colors (with corrective lenses). Perform tasks that require manual dexterity, including operation of computers & small office equipment. Basic mobility and the ability to navigate the office environment safely. Ability to speak clearly, listen attentively (with assistance devices), and convey information accurately. May be required to give presentations to groups.


MENTAL FUNCTIONS: Ability to analyze situations, identify potential risks, and devise effective solutions. Ability to remain flexible in dynamic environments, adjusting plans and strategies as necessary to accommodate changing requirements or circumstances. Ability to effectively communicate and collaborate with other teams. Ability to manage time and priorities to meet deadlines.


WORK ENVIRONMENT: Work is performed in a semi-secured office building with a typical office environment and risk factors.
