Position Overview
ONESOURCE Companies is seeking a Real Estate Administrator with required AppFolio experience to support day-to-day property management operations. This role is responsible for managing tenant and landlord accounts, ensuring accurate financial processing, maintaining lease records, and coordinating maintenance activities.
The ideal candidate thrives in a fast-paced environment, is highly organized, and can effectively communicate with tenants, landlords, and internal teams to ensure smooth property operations and high client satisfaction.
Key Responsibilities
- Serve as the primary administrative point of contact for assigned landlord and tenant accounts.
- Utilize AppFolio to manage rent collection, lease administration, tenant communications, and reporting.
- Process rent payments, invoices, and CAM reconciliations accurately and on time.
- Maintain and update lease records, renewals, and tenant documentation within AppFolio.
- Coordinate and schedule maintenance requests, ensuring timely resolution and tenant satisfaction.
- Communicate proactively with tenants and property owners regarding account updates, issues, and resolutions.
- Collaborate with accounting, property managers, and field teams to ensure seamless operations.
- Generate financial and operational reports for clients as needed.
- Assist with budgeting, reporting, and tracking client performance metrics (e.g., satisfaction scorecards).
- Support preparation of proposals, property management agreements, and related documentation.
- Ensure all property records, vendor information, and maintenance schedules are current and accurate.
- Required: Hands-on experience with AppFolio property management software.
- 2+ years of experience in property management, real estate administration, or a related field.
- Strong understanding of property management processes, including rent collection, leases, and CAM reconciliations.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and accuracy in financial and administrative tasks.
- Excellent written and verbal communication skills.
- High school diploma required; additional education in real estate, business, or a related field is a plus.
- Property management software proficiency (AppFolio required).
- Strong customer service and relationship management skills.
- Financial and analytical skills related to rent, billing, and reconciliations.
- Effective problem-solving and conflict resolution abilities.
- Proficiency in Google Workspace (Docs, Sheets, Gmail) or similar tools.
- Ability to quickly learn new systems and adapt to changing processes.
