Job Summary

We are seeking a highly organized, detail-oriented, and technology-driven Closing Coordinator to join our Operations team.


This position plays a critical role in managing approved loan transactions from underwriting approval through closing, funding, and post-closing delivery. You will work closely with Underwriters, Loan Originators, Transaction Coordinators, Borrowers, Title Companies, Escrow Officers, Attorneys, Warehouse Lenders, Capital Partners, Insurance Providers, Accounting, and other internal teams to ensure every transaction closes accurately, efficiently, and on schedule.

Key Responsibilities


Closing & Funding Coordination

  • Coordinate approved loan files from underwriting approval through closing, funding, and post-closing.
  • Prepare loan files for closing while ensuring all required documentation is complete and accurate.
  • Schedule loan closings and manage timelines to ensure funding deadlines are met.
  • Verify all underwriting conditions and funding requirements have been satisfied prior to closing.
  • Coordinate document preparation, execution, notarization, and return of signed closing documents.
  • Coordinate funding with warehouse lenders, capital partners, title companies, escrow officers, attorneys, insurance providers, and internal Accounting teams.
  • Review settlement statements, ALTA settlement statements, title commitments, insurance policies, payoff statements, entity documents, wire instructions, and closing packages for accuracy.
  • Ensure loan proceeds are disbursed accurately and on time.


Communication & Client Support

  • Serve as the primary point of contact for borrowers throughout the closing and funding process.
  • Coordinate with Loan Originators, Underwriters, Transaction Coordinators, Title Companies, Escrow Officers, Attorneys, Insurance Providers, Warehouse Lenders, Capital Partners, and third-party vendors.
  • Provide timely updates while delivering a professional and exceptional customer experience.
  • Resolve title, escrow, documentation, funding, and closing issues in collaboration with internal teams and external partners.
  • Maintain proactive communication with borrowers throughout every stage of the closing process.


Post-Closing & Documentation

  • Coordinate post-closing documentation, collateral delivery, trailing documents, loan boarding, and final file completion.
  • Ensure every loan file is complete, compliant, organized, and audit-ready.
  • Maintain accurate documentation and loan records throughout the closing lifecycle.


Operations & Technology

  • Maintain accurate data within Mortgage Automator (LOS), HubSpot CRM, and other internal systems.
  • Generate reports and update internal tracking tools.
  • Utilize approved AI productivity and workflow automation tools to improve communication, documentation, operational efficiency, and borrower service while complying with company policies.
  • Collaborate with Loan Originators, Underwriters, Transaction Coordinators, Accounting, Servicing, Legal, and Leadership teams to facilitate efficient transaction execution and deliver an exceptional borrower experience.
  • Identify opportunities to improve workflows and operational efficiency.
  • Learn and adopt new technologies that improve productivity and client service.
  • Support continuous process improvement and operational excellence.


Relationship Development

  • Proactively engage existing and past borrowers through outbound calls and email outreach whenever appropriate to strengthen relationships, educate clients on new lending programs, identify future financing opportunities, and support repeat business.


Required Qualifications

  • Bachelor's degree in Business Administration, Finance, Accounting, Economics, Real Estate, or a related field preferred.
  • Two or more years of experience in mortgage operations, private lending, banking, financial services, loan closing, escrow, title, or a related operational role.
  • English proficiency at C1 level or higher (written and spoken).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Exceptional attention to detail.
  • Ability to prioritize and manage multiple transactions while meeting deadlines.
  • Strong analytical and problem-solving skills.
  • Professional and customer-focused mindset.
  • Ability to work independently while collaborating effectively with a team.

  • Experience using CRM platforms, Loan Origination Systems (LOS), or similar workflow software.
  • Strong proficiency with Microsoft Office and cloud-based business applications.
  • Comfortable learning new software and adapting to evolving technology.


Preferred Qualifications

  • Experience in private lending, bridge lending, commercial lending, banking, real estate, title, escrow, or financial services.
  • Experience as a Closing Coordinator, Transaction Coordinator, Loan Processor, Loan Closer, Escrow Coordinator, Title Coordinator, or Operations Coordinator.
  • Experience supporting U.S.-based clients or companies.
  • Experience working with Mortgage Automator, HubSpot, Salesforce, Encompass, Byte, or similar Loan Origination Systems and CRM platforms.
  • Experience utilizing AI productivity tools in a professional environment.
  • Mortgage Automator Loan Origination System (LOS) or similar platforms
  • HubSpot CRM or other CRM platforms
  • Microsoft Office (Excel, Word, Outlook)
  • Adobe Acrobat
  • Slack or Microsoft Teams
  • AI productivity tools such as ChatGPT, Microsoft Copilot, or Google Gemini


Work Requirements

  • Based in Bolivia.
  • Available to work full-time during U.S. business hours.
  • Reliable high-speed internet connection.
  • Professional home office environment suitable for virtual meetings.
  • Ability to handle confidential financial and borrower information with discretion.
