Partner Order Compliance & Support Coordinator

Position Summary
Ensure all customer orders meet company compliance standards and Delegation of Authority (DOA) requirements. Responsible for validating order accuracy, auditing customer purchase orders, and serving as a key control point between Sales, Finance, and Operations to protect order integrity and support efficient order processing.
This position follows a hybrid work schedule, requiring a minimum of three days per week in our Lincoln, NE office and offering the flexibility to work remotely up to two days per week.
Essential Functions
- Ensure all orders are processed in compliance with company policies, Delegation of Authority (DOA), and contractual requirements.
- Accurate processing of Partner orders.
- Includes validating/auditing Partner POs. Ensure PO information matches and is correct on all orders such as Vendor name and remittance information, Payment Terms, FOB information, shipping details, and pricing.
- Validate account information is correct and updated. Includes confirming Parent, Definitive, and GPO linking is accurate.
- Owns the integrity and accuracy of customer order entry from submission through fulfillment, ensuring alignment between customer requirements, internal systems, and downstream billing processes.
- Assist with internal departments to ensure all orders are closed correctly and following the internal checklists and processes.
- Act as the liaison between various Fall and Senior Living Sales representatives and the internal Finance and Operations departments.
- Partner communication, pre- and post-sale follow-up, and implementing process enhancements to streamline business metrics.
- Provide coordination for Partner RMAs, short product disputes, pricing disputes.
- Coordinate, schedule and prioritize customer sales orders with team members daily.
- Work with sales representatives, within North America and internationally, on inquiries that they may have on a daily basis.
- Provide prompt service to the Partners/Customers; receiving and responding to incoming calls and emails regarding product orders, inquiries, shipments, returns/exchanges and any other pertinent information.
- Track and document order discrepancies, RMAs, and customer issues to support resolution and continuous process improvement.
- Provide back-up and additional support to other departments on an as needed basis.
- Process direct orders as needed.
- Cross-Train to cover Sales Order Compliance Coordinator activities when needed.
- Act as a back-up by administering all sales/office duties in Management's absence, which may include handling the more difficult customer orders, complaints, return policies, and accounts receivable questions and decisions.
- Other duties as assigned.
- 1-3 years customer service, data entry and clerical experience required.
- Professional phone skills with the ability to speak to key accounts required.
- Ability to understand and explain all Company product lines, service, support, and company credit/shipping policies after training required.
- Excellent written and verbal communication skills
- Self-motivated individual who is able to work independently and as part of a team.
- Ability to work in a high demand environment.
- Strong organizational skills, attention to detail, and ability to prioritize and balance the workload to meet deadlines.
- Ability to handle multiple priorities.
- Basic knowledge of Microsoft Word, Excel and PowerPoint and Outlook required.
- Database and/or SalesForce experience preferred but not required.
- Experience working in an order entry software program preferred.
- Experience working with international parties preferred but not required.
