Essential Job Functions
- Walk & inspect all new properties onboarded with the new owner and team.
- Assist managing communications between our team and the property owner.
- Assist handling owner requests and projects with Maintenance, Inspections, Housekeeping, vendors & contractors.
- Assist handling orders and deliveries to office from property owner.
- Assist all Guest Damage Orders for properties.
- Assist to seek approval for all purchase requests/ repairs over the amount of $250.
- Coordinate walkthroughs of properties for upkeep suggestions & projects on an as needed basis.
- Produce monthly email to all property owners with updates and key data of their properties.
- Available to be on call for all Property Owners and be their goto personal contact.
- Assist reviewing monthly Owner Statements for accuracy.
- Speak to Owners about any discrepancies with their Owner Statements or Monthly Payouts.
- Return all emails/voicemails requests to Owners within 24 hours.
- Assist Owners with personal reservations & personal Owner Guest reservations.
- Speak with Code Enforcement on the behalf of the Owner for any discrepancies and/or code violations.
- Schedule and/or perform an Audit of booking channels for discrepancies for all properties.
- Provide Owners guidance with the usability and function of their Owner's Portal.
- Act as Liaison between the Owner and all Prime Vacations departments/vendors regarding any special requests or Guest Referral Bookings.
- Act as Liaison between the Owner and the cleaning staff performance via feedback to the Inspection manager.
- Act as Liaison between the Owner and the vendors assigned to the property via feedback to the Maintenance manager.
- Audit the Booking Channels for Property Listing Accuracy.
- Procure in person appointments for quality assurance.
- Complete with back of house data entry.
- Assist owners with property needs.
- Review Monthly Owner Statement approvals.
- AS/AA Degree, or equivalent years of experience (24 years)
- Intermediate Computer Skills (Microsoft Outlook, Word, Excel, PowerPoint.)
- Ability to learn new programs and adapt to their functional use.
- Flexible schedule including evenings weekends and oncall shifts.
- High Language Skills (Ability to read, analyze, and interpret general business periodicals/journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manual. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.)
- Intermediate Mathematical Skills (Ability to calculate figures and amounts such as discounts, interest, commissions, portions, percentages. Ability to apply concepts of basic algebra and geometry.)
- High Reasoning Skills (Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished and written, oral, diagram, or schedule form.)
- Must be able to Sit, Walk, Stand and Use Hands and Talk/Hear on a regular basis.
- May need to lift boxes 1020 lbs. on occasion.
The noise level in the work environment is usually moderate.
