About the role:

We are hiring a full-time, long-term Travel Operations Coordinator to be the operational backbone of our agency.


The coordinator manages booking requests, itinerary changes, and trip confirmations while ensuring accurate documentation across internal systems. The role includes providing responsive service in English and Spanish, with Chinese or Japanese language skills considered a strong plus.


You will handle day-to-day reservations (flights, hotels, trains, activities) and keep our booking records organized, accurate, and up to date.


Daily tasks involve coordinating with local suppliers, resolving operational issues, monitoring trip logistics, and preparing administrative reports. The coordinator also collaborates with internal teams to improve processes, maintain service quality standards, and support travelers before, during, and after their journeys.


This is a permanent employee role, not a freelance gig. We want someone who is excited to grow with us long-term.


What you will do:

  • Book and manage reservations across hotels, tours, rail, and ground services.
  • Liaise with international suppliers and OTAs in English and Spanish.
  • Download, organize, and file all invoices and booking confirmations into our internal documentation system.
  • Track cancellations, amendments, and refund statuses.
  • Maintain clean, structured records of all active and past reservations.
  • Provide occasional client support in both languages.
  • Help the team analyze and improve operations processes.


Who you are:

  • Excellent written communication skills
  • Fluent in English and Spanish (business-professional level in both, written and spoken).
  • Highly comfortable with digital tools and online workflows, you adapt quickly to new platforms and enjoy working in a fully digital environment.
  • A natural team player with zero ego. You care about getting the job done and helping the team succeed.
  • 1–3 years of experience in travel operations, hospitality, project management, production coordination, operations, or a similar role with heavy administrative and coordination duties.
  • Extremely organized, detail-obsessed, and comfortable with repetitive admin tasks.


Nice to have:

  • Chinese (Mandarin) or Japanese, even conversational level is a strong asset.
  • Familiarity with Asian travel markets.
  • Prior experience in travel, tourism, hospitality, or related operations roles is beneficial.
  • Hands-on experience with booking platforms (OTAs, rail sites, or GDS).
  • Basic understanding of invoicing or bookkeeping.

Location & time zone:
