Job Summary
Ensure timely and accurate customer service while proactively coordinating and challenging information received from the Supply Chain team (OTD, shipment, shipping plan, production plan). The goal is to validate all data before communicating with customers, enhancing customer experience and supporting Sales operations effectively.
Key Responsibilities
Customer Services
- Receive customer inquiries, issues, and feedback from internal clients or distributors.
- Provide information on products, order status, and delivery timelines.
- Coordinate with Sales, Order Processing, S&OP, and Supply Chain to resolve issues promptly.
- Monitor delivery progress and proactively update customers on changes.
- Handle after‑sales requests: returns, warranty, complaints.
- Maintain customer satisfaction and nurture long‑term relationships.
- Support Sales team with quotations, contracts, documentation, and product information.
- Update sales programs, promotions, and pricing policies.
- Follow up on pending sales activities, orders, and KPI items.
- Assist in data input and sales record maintenance when needed.
- Prepare daily/weekly/monthly performance and sales summary reports.
- Act as a central communication point between Sales, CS, Order Processing, S&OP, and Supply Chain.
- Ensure information accuracy and alignment across departments.
- Propose solutions for risks such as stock shortages or delivery delays.
- Participate in internal meetings to update customer and order status.
- Prepare periodic reports: CS KPI, customer satisfaction, order progress, inventory status.
- Update and maintain customer/order databases according to procedures.
- Support administrative tasks related to Customer Service and Sales.
- College/University degree in Supply Chain, Business Administration, Logistics, or related fields.
- Experience in Customer service, Sales admin, or Order processing is preferred.
- Excellent knowledge of supply chain and Order‑to‑cash workflow.
- Strong English communication and interpersonal skills.
- Problem‑solving and issue‑handling ability.
- Proficient in Excel, SAP/CRM, and reporting tools.
- Able to work under pressure and manage multiple tasks.
- Capable of preparing concise daily, weekly, and monthly reports.
- Clear communication and strong collaboration with cross‑functional departments.
- Internal service mindset, providing timely support to Sales and Customer service.
- Able to provide basic guidance to new team members on processes and system usage.
- Proactive reporting of discrepancies and operational risks.
- Schedule:Monday – Friday (08:30 – 16:30) with hybrid option to WFH 4 days/month.
