Responsibilities
- Manage appointment scheduling for clinics/units and maintain calendars
- Process consult intake, schedule appointments, and manage electronic waitlists
- Review daily consults, recall lists, and communications for accuracy
- Adjust appointments, locations, and providers to maintain clinic access and coverage
- Serve as first point of contact for patients, families, and staff
- Answer phones, respond to inquiries, and resolve concerns
- Provide courteous, professional, and timely service
- Handle complaints and initiate resolution within required timelines (24–72 hours)
- Collaborate with interdisciplinary healthcare teams (VA and community providers)
- Support community care scheduling workflows and escalation processes
- Assist patients in navigating care and making informed decisions
- Input and maintain patient data in CPRS/EHR systems
- Verify and update demographic and insurance information
- Perform receptionist and clerical duties (messages, records, materials)
- Support revenue processes by identifying insurance coverage
- Maintain patient safety by verifying identity using required protocols
- High School diploma or GED equivalent.
- Proficiency in written and spoken English.
- Minimum typing speed of 50 words per minute.
- Basic computer proficiency, including Microsoft Office applications.
- Basic knowledge of medical terminology.
- Minimum 6 months of customer service experience in a medical or healthcare setting.
- Ability to work remotely and independently in a professional setting.
- Ability to obtain and maintain a favorable VA background investigation (NACI) and PIV credential.
- No physical or health restrictions that would interfere with job performance.
- Ability to complete all required VA onboarding, security, privacy, and mandatory training prior to and during assignment.
- U.S. citizenship required.
- Sit, stand, walk, lift, squat, bend, twist, and reach above shoulders during the work shift
- Lift up to 50 lbs from floor to waist
- Lift up to 20 lbs
- Carry up to 40 lbs a reasonable distance
- Push/pull with 30 lbs of force
