DOCUMENT CONTROL SPECIALIST
Location: Bay City, MI
Contract: 12 Months
Schedule: Full-Time, 40 Hours/Week
Work Arrangement: Onsite
The Planet Group is seeking a Document Control Specialist to join a well-known Fortune 500 client on a 12-month contract in Bay City, MI. This role supports the Electric Supply Engineering (ESE) Document Management team, which is responsible for managing engineering records, project documentation, and document control activities throughout the lifecycle of capital projects.
The ideal candidate will have 2–4 years of experience in records management, document control, or a related administrative role, along with experience using document management or project control systems.
JOB DESCRIPTION
What You’ll Do
- Work closely with engineering personnel to support established document and record management requirements.
- Process engineering and project records, including drawings, manuals, transmittals, correspondence, engineering change notices (ECNs), and vendor submittals.
- Support projects throughout the design, construction, and closeout phases.
- Maintain electronic databases used to track, transmit, and distribute project documents.
- Request and maintain controlled document numbers in accordance with established numbering conventions.
- Review and audit records for accuracy, completeness, and compliance with project requirements.
- Identify documentation issues and assist with corrective actions and process improvements.
- Provide hard-copy documents and critical project records to construction teams and Plant Document Control.
- Prepare daily, weekly, and monthly activity reports.
- Coordinate with engineering, plant personnel, drafters, and project teams on document control requirements.
- Organize and prioritize work assignments while managing multiple tasks and deadlines.
- Support document management procedures and updates as needed.
- Coordinate office/plotter supplies and work with IT when technical support is required.
What We’re Looking For
- 2–4 years of experience in records management, document control, or a similar role.
- Experience with ProjectWise, Primavera Unifier, CM14, Prolog, or other document control software.
- Experience with clerical, administrative, project documentation, or document control functions; engineering, construction, or drawing document control experience is preferred.
- Experience with database management and electronic document tracking systems.
- Strong organizational and multitasking skills with the ability to quickly shift priorities.
- Excellent communication and customer service skills.
- Ability to work effectively with engineering teams, plant personnel, drafters, and project stakeholders.
- Familiarity with SAP or similar enterprise systems is a plus.
- Ability to maintain accuracy and attention to detail while working with high volumes of project records.
- Comfortable working in a team-oriented, onsite environment.
- Ability to handle and transport large rolled prints and hard-copy documents when required.
