The ideal candidate will assist in overall project management from preconstruction through post construction. Including but not limited to the tasks listed below. The role is intended for a self-starter who is self-motivated and eager to gain in-depth knowledge of the overall workings of a construction project.
Responsibilities:

- Provide Administrative Support to Office Staff, Project Managers and Field Superintendents
- Assist with project administration deliverables including RFIs, Submittals, Closeout Documents within Project Management Software, Red Team
- Assist with all safety documentation and promote safe culture.
- Create and maintain project files, both electronically and hard copies
- Prepare and distribute project memoranda.
- Assist subcontractors with gaining appropriate security access to job sites; maintain discretion in the handling and submission of confidential information.
- Correspond with Subcontractors regarding required paperwork.
- Assist with answering telephones. Project Invoicing
- Review client contracts for billing requirements; allowable markups, fee structure, retainage, waivers, tax requirements, shared savings, etc.
- Manage subcontractor progress billings and documents for compliance and timely submittal.
- Review and post subcontractor monthly progress billings
- Manage subcontractor payments.
- Maintain billing contract format (G702, G703 format)
- Prepare system generated client requisitions and provide necessary backup.
- Monitor accounts receivable and support with collection efforts.
- Assist in the preparation of detailed conceptual budgets and estimating from pre-construction, concept design, schematic design and design development documents.
- Assist in take-offs of all trades. Assist with the entire bid process (construction management and general contractor) inclusive of preparation of detailed bid package.
- Ensure accurate and proper submissions & proposals by all subcontractors.
- Build and maintain vendor relationships.
- Level subcontractor bid proposals for accuracy and scope gaps
- Prepare scope of work documentation by division
- Attend on-site walk-throughs as needed.
- 2+ years of experience in commercial construction project coordination or a related role
- Familiarity with construction documents, blueprints, and project management software
- Strong organizational and multitasking skills with exceptional attention to detail
- Excellent written and verbal communication skills for client and subcontractor coordination
- Proficiency in Microsoft Office Suite; experience with Procore or similar platforms a plus
- Ability to work both in-office and on job sites as needed
- Associate's or Bachelor's degree in Construction Management, Engineering, or related field preferred
