Position Title: Contract Administrator
Location: Jakarta, Indonesia
Role Overview:
The Contract Administrator will be responsible for supporting the Contract Owner in the day-to-day management and administration of assigned contracts. The role will ensure that contractual obligations are properly managed, monitored, and delivered by contractors in line with agreed commercial, technical, and operational requirements.
Key Responsibilities:
- Assist in organising contract kick-off meetings with the relevant Department and support the mobilisation and preparation of the appointed contractor.
- Monitor the validity and compliance of performance guarantees, ensuring they are obtained, renewed, and maintained throughout the contract period.
- Manage and monitor all contractual insurance requirements to ensure appropriate coverage remains in place.
- Assess contractors’ proposed change management strategies and provide the necessary approvals or recommendations.
- Prepare and communicate formal change notifications, contractual instructions, and other relevant correspondence to contractors.
- Facilitate the assessment and coordination of contractor requests for changes to the agreed scope, cost, or schedule.
- Lead the preparation, negotiation, and issuance of contract variations, change orders, and amendments.
- Maintain comprehensive records of contract changes, variations, and amendments, including associated financial and schedule impacts.
- Provide regular updates to the Procurement and Control team on contract progress, key issues, commercial matters, and outstanding actions.
- Evaluate contractor and consultant claims, ensuring submissions are reviewed appropriately and responses are provided within the required timeframe.
- Work closely with the Department and Legal team, where applicable, to investigate and resolve contractual disputes, claims, and disagreements relating to Contracts, Purchase Orders (PO), or Service Orders (SO).
- Support in administering contractual remedies, including penalties, sanctions, liquidated damages, incentives, and other applicable commercial measures.
- Manage the contract completion process, including preparation of final documentation, outstanding commercial matters, and formal contract close-out.
- Assess and document contractor and consultant performance at the end of the contract.
- Ensure all contractual information, commercial matters, and project documentation are handled with a high level of confidentiality.
Requirements
- Bachelor’s Degree in Business Administration, Engineering, Business Law, or a related field from a recognised university.
- At least 5 years of relevant experience within the Oil & Gas industry, particularly in contract administration, contract management, or a related function.
- Solid understanding of contract management principles, including variations, claims, commercial negotiations, and contract close-out.
- Excellent negotiation and analytical abilities, with strong judgement and the confidence to make independent decisions.
- Strong problem-solving skills and the ability to manage contractual matters effectively.
- Willing to travel to field locations, project sites, and other work locations when required
