Responsibilities
- Execute direct procurement activities, building and modifying purchase orders for equipment, materials, and services so orders go out accurately and on schedule.
- Draft contracts from approved templates and run initial review and redlining with vendors and internal owners to move agreements to signature quickly.
- Resolve PO, invoicing, billing, and mismatch issues directly with vendors and internal teams, keeping payments accurate and supplier relationships clean.
- Assist in implementation of new procurement systems, including P2P, contract management, and RFx tools, and help drive department adoption so the team runs on them efficiently.
- Enter and maintain PO, contract, and vendor data in those systems.
- Run regular reports on open contracts and POs, flagging deadlines and keeping the team on-target.
- Revise, edit, and proofread procurement documents and redlines so contract packages leave the department error-free.
- 2+ years of supply chain experience, including buyer and/or procurement functions. Candidates with greater experience are strongly encouraged to apply, with an upgrade to Sr. Procurement Specialist available based on prior work history.
- Hands-on experience building and modifying purchase orders.
- Some familiarity with contracting, including document revision and redlining.
- Comfort engaging vendors and internal stakeholders on invoicing, billing, mismatch, and other PO-related disputes.
- Competency in both MS Office and Google Docs.
- Strong written and oral communication, with careful editing and proofreading.
- Strong organizational skills; you juggle many, often changing tasks without dropping threads.
- Experience setting up or implementing RFx bids.
- Experience participating in the implementation of new software tools for a department or converting from legacy systems.
- Experience collaborating on larger category sourcing requirements.
- Experience using AI tools in your day-to-day work.
- Prior work on a high-tempo supply chain team.
