Headquartered in West Palm Beach with offices in Merritt Island, Jacksonville, and Tampa, JLRD delivers all four engineering disciplines in-house across healthcare, education, government, federal, aviation, utilities and infrastructure, commercial and mixed-use, hospitality, residential, and mission-critical facilities.

ABOUT THE ROLE


The Marketing & Business Development Operations Coordinator is a hybrid operational and analytical role supporting JLRD's business development, proposal, and marketing functions. This role owns the day-to-day operation of the firm's CRM, supports proposal responses across federal and commercial pursuits, maintains the firm's historical project database, coordinates industry conference participation, and produces the reporting that gives leadership visibility into business development pipeline health.


This is not a traditional marketing coordinator role. We are looking for someone who understands the AEC industry, is comfortable working with data and reporting, has direct experience supporting proposals and pursuits, and brings the operational discipline to keep multiple workstreams moving accurately and on deadline. The right person will combine strong organization and communication with systems thinking, process improvement, and an understanding of how professional services firms pursue and win work.


This position reports to the Chief of Staff.


Position is based in West Palm Beach, Florida. On-site.


WHAT YOU WILL DO


CRM & Business Development Operations

  • Own day-to-day administration of JLRD's CRM, including business development pipeline boards, pursuit tracking, and reporting dashboards
  • Maintain data integrity across contacts, companies, opportunities, and pursuit stages
  • Produce weekly and monthly business development reporting, including pipeline health, hit rate by sector, and pursuit velocity
  • Coordinate go/no-go workflows across leadership and Department Leads
  • Support target account research, competitive intelligence, and outreach coordination


Proposal & Qualifications Coordination

  • Support coordination of SF330 federal proposals, RFQs, and RFP responses in partnership with technical leads
  • Maintain the SF330 boilerplate library, Section E resumes, and Section F project pages
  • Coordinate proposal production schedules and internal review cycles
  • Manage compliance reviews against RFP requirements and coordinate submission logistics
  • Take on independent coordination of smaller pursuits as capability develops


Project Database & Marketing Content

  • Maintain JLRD's historical project database spanning more than three decades of work
  • Verify project data accuracy, resolve inconsistencies, and support development of project pages for proposals and the company website
  • Support marketing content development, including case studies, project sheets, and website updates
  • Coordinate with external marketing support on company page content


Conference & Trade Show Coordination

  • Coordinate JLRD's annual conference and trade show calendar
  • Manage event logistics, including registrations, travel coordination, booth setup, and collateral
  • Prepare attendee lists, target contact lists, and outreach templates ahead of events
  • Capture post-event leads and ensure they are accurately routed into the CRM for follow-up


REQUIRED QUALIFICATIONS

  • Bachelor's degree in Marketing, Business Administration, Communications, or a related field
  • 2 to 4 years of experience within the AEC industry — architecture, engineering, or construction — in a marketing, business development, or operations role
  • Direct experience supporting SF330, RFQ, or RFP proposal coordination
  • Proficiency with Microsoft 365, including Word, Excel, PowerPoint, SharePoint, and Teams
  • Comfort with work management platforms such as Monday.com, Asana, Smartsheet, or similar
  • Strong written and verbal communication skills, particularly for proposal writing and internal reporting
  • Strong systems thinking and process orientation, with the ability to build and improve repeatable workflows
  • Excellent deadline discipline and the ability to manage multiple simultaneous workstreams


PREFERRED QUALIFICATIONS

  • Experience with Unanet, Deltek Vantagepoint, or another AEC-specific ERP or CRM platform
  • Federal proposal coordination, GSA schedules, or SBA small business certification experience
  • Experience with Canva, Adobe Creative Suite, or similar design tools
  • Familiarity with MEP consulting engineering or general contracting industry dynamics
  • SMPS membership or relevant coursework


SCHEDULE

  • Monday through Thursday, 7:30 AM to 5:30 PM
  • Friday, 7:30 AM to 11:30 AM (half-day Fridays year-round)
  • Occasional travel to industry conferences and events
