Position Introduction

The Administrative/Financial Coordinator provides professional administrative, financial, and operational support to the Department Chair, faculty, staff, and students within the Department of Psychology. This position manages departmental financial operations, payroll, faculty personnel processes, and administrative functions while serving as the primary liaison with the College Dean's Office, Shared Business Services Center (SBSC), and other university offices. The position ensures efficient day-to-day operations, compliance with university policies, and exceptional customer service.

Essential Duties

  • Manage departmental budgets, including operating, grant, and endowment accounts, in collaboration with the Department Chair and College Dean's Office.
  • Monitor financial activity, reconcile accounts, and prepare budget reports and projections.
  • Coordinate departmental payroll and personnel transactions.
  • Serve as the primary liaison with the Shared Business Services Center (SBSC) for financial, payroll, procurement, and travel activities.
  • Coordinate faculty recruitment and search processes, including scheduling interviews and preparing hiring documentation.
  • Administer annual faculty progression processes, including promotion, tenure, annual evaluations, and reappointments.
  • Prepare and submit One-Time Instruction (OTI) requests and other academic personnel actions.
  • Coordinate departmental scholarship processes in collaboration with faculty and staff.
  • Plan, coordinate, and support departmental meetings, committee meetings, workshops, and special events.
  • Prepare correspondence, reports, agendas, meeting materials, and other official departmental documents.
  • Maintain confidential personnel, financial, and student records in accordance with university policies.
  • Serve as the primary administrative liaison with the College Dean's Office, Human Resources, Shared Business Services Center, and other university departments.
  • Coordinate travel arrangements and reimbursement processes for faculty, staff, and visitors.
  • Assist with purchasing, procurement, and departmental inventory as needed.
  • Provide administrative support to the Department Chair, faculty, staff, students, and visitors.
  • Interpret and apply university policies and procedures while ensuring departmental compliance.
  • Identify opportunities to improve administrative processes and operational efficiency.
  • Perform other duties as assigned to support the mission and goals of the Department of Psychology.

Required Education and Experience:

  • Bachelor's degree in Accounting, Finance, Business, Management, or related field.

Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree.
