Role Title: Onsite Project Coordinator – Field Verification and Documentation Program
Work Location: Client office in Midland, TX
Role Purpose: The Onsite Project Coordinator will act as the primary coordination interface at the client office for planning, monitoring, and controlling the pilot field verification scope across designated facilities. The role will ensure that site walkdowns, access readiness, document availability, red-line markup consolidation, asset register updates, clarification management, and progress reporting are executed in alignment with the agreed scope, safety prerequisites, deliverables, schedule, and client expectations.
- Key Responsibilities
- Serve as the single point of coordination between client stakeholders, field verification teams, offshore/back-office teams, and relevant vendor or site representatives for day-to-day execution of the pilot scope.
- Support execution planning, including site sequencing, mobilization and demobilization planning, work-front readiness, permit readiness, document readiness, and coordination of access requirements for each planned facility visit.
- Track and coordinate field walkdown activities covering P&IDs, Plot Plans, Area Classification drawings, Lease Flow Diagrams, equipment tags, major equipment, instruments, control valves, PSVs, nameplate data, and permitted photographic references.
- Ensure field teams are working against the latest available client-provided drawings, templates, field verification checklists, and approved red-line / blue-line markup practices.
- Monitor completion and quality of field inputs required for downstream deliverables, including red-lined drawings, asset register templates, PSV templates, photo logs, discrepancy summaries, query logs, and progress reports.
- Coordinate timely resolution of client clarifications, site queries, missing information, tagging discrepancies, and field-observed deviations between approved documentation and actual installed conditions.
- Maintain tracker-based governance for site readiness, document receipt, pending clarifications, field completion status, deliverable status, review comments, action owners, due dates, and closure status.
- Facilitate periodic progress meetings, prepare concise status updates, highlight risks and dependencies, and escalate blockers related to site access, permits, safety prerequisites, missing drawings, operational constraints, or delayed client inputs.
- Coordinate with delivery leadership to align onsite execution with T&M governance, resource utilization, schedule assumptions, AFE-based tracking requirements, and agreed commercial boundaries.
- Ensure scope discipline by clearly distinguishing in-scope visual verification and documentation support from excluded activities such as engineering calculations, physical measurements, EDMS uploads, asset hierarchy development, BOM preparation, template standardization, or access equipment provision.
