The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while producing accurate, time-sensitive work. This individual will report to the company president and vice president initially, followed by allocated personnel as directed by the President and Vice President and serve as a key resource to company leadership by providing responsive support to clients, consultants, and internal team members.
Essential Functions
- Review client and subconsultant agreements, identify contract revisions as needed, prepare markups, and coordinate with clients and the company's attorney, when necessary, to facilitate contract execution.
- Maintain corporate entity records, governance documents, and compliance records to ensure accurate and current company information.
- Research state licensing requirements for engineers and the firm; prepare and submit applications and renewal documentation and maintain ongoing licensing compliance.
- Maintain brand consistency across all company marketing materials, including brochures, project sheets, staff resumes, company documents and forms, and the company website.
- Prepare and coordinate Statements of Qualifications (SOQs), Requests for Proposals (RFPs), project summaries, presentations, and other marketing materials.
- Administer the company's Quality Assurance/Quality Control (QA/QC) and safety programs by maintaining documentation, monitoring compliance requirements, and coordinating client-specific prequalification and compliance documentation.
- Serve as the primary liaison with the company's attorney regarding contracts, collections, and other legal matters.
- Organize, maintain, and archive electronic files using clear and consistent records management practices.
- Prepare accurate, professional, and time-sensitive documents with a high level of attention to detail.
- Provide administrative and operational support to management and team members as needed.
Technical Skills
- Proficiency in Microsoft Office Suite is required.
- Experience with Adobe Acrobat and/or Bluebeam Revu is required.
- Ability to learn new software applications as needed.
- Experience in the engineering, architecture, construction, or professional services industry is preferred.
- Certified Paralegal status is preferred.
- Notary Public status is preferred or must be willing to obtain a North Carolina Notary Public commission.
