Location: Mockingbird Towers 4th FLR

Primary Purpose

The Vendor Management Analyst supports procurement, vendor contracting, and contract administration activities by coordinating sourcing initiatives, managing vendor relationships, and ensuring compliance with organizational policies and regulatory requirements. This role is responsible for facilitating procurement processes including RFPs, RFQs and RFIs, drafting and maintaining vendor agreements, monitoring vendor performance, and supporting cost optimization initiatives. The Analyst serves as a liaison between internal departments and external vendors to ensure efficient and compliant procurement and contracting operations.

MINIMUM SPECIFICATIONS

Education

  • Bachelor's Degree

Experience

  • Must have two (2) years' experience in contract development, vendor management, contract management/administration, or purchasing/procurement.
  • Managed care experience preferred.

Equivalent Education And/or Experience

  • None.

Certification/Registration/Licensure

  • Certification in Procurement, Supply Chain, or Purchasing Management (e.g., Certified Purchasing Professional [CPP], Certified Professional in Supply Management [CPSM])

Skills Or Special Abilities

  • Knowledge of procurement and vendor management principles and practices;
  • Ability to read, interpret, and manage contractual documents;
  • Understanding of contract negotiation, compliance, and risk assessment processes;
  • Strong analytical and problem-solving skills;
  • Proficiency in Microsoft Office Suite, including Excel, Word, and database systems;
  • Experience working with vendor management or procurement systems preferred;
  • Excellent organizational, time management, and multitasking abilities;
  • Strong verbal and written communication skills;
  • Ability to manage multiple priorities while meeting deadlines;
  • Detail-oriented with strong business acumen and sound judgment;
  • Ability to maintain confidentiality and professionalism in sensitive matters

Responsibilities

  • Coordinates vendor contracting and procurement activities, including sourcing requests, vendor intake, contract documentation, renewals, and amendments.
  • Analyzes vendor performance, contract utilization, spend trends, and service outcomes to support strategic sourcing decisions
  • Communicates with internal stakeholders to collect requirements, clarify needs, and resolve procurement-related inquiries.
  • Applies procurement policies, contract terms, compliance requirements, and vendor governance standards to support appropriate contracting and procurement actions.
  • Compiles vendor quotes, proposals and contract documentation to support RFP, RFQ, bid evaluations and sourcing decisions.
  • Interprets pricing data, service level agreements, performance expectations, and contract clauses to assess risk, compliance, and vendor accountability.
  • Support strategic vendor relationships through KPIs, SLAs, financial oversight, and continuous improvement
  • Escalates unresolved vendor performance issues, procurement barriers, contract discrepancies, or compliance concerns to senior analysts or leadership.
  • Contributes to continuous improvement by documenting process gaps and recommending basic workflow enhancements.
  • Arranges training and guidance for new team members on vendor contracting processes, procurement procedures, documentation requirements, and vendor management tools.

  • Identifies ways to improve work processes and improve customer satisfaction. Makes recommendations to supervisor, implements, and monitors results as appropriate in support of the overall goals of the department and Parkland.
  • Stays abreast of the latest developments, advancements, and trends in the field by attending seminars/workshops, reading professional journals, actively participating in professional organizations, and/or maintaining certification or licensure. Integrates knowledge gained into current work practices.
  • Maintains knowledge of applicable rules, regulations, policies, laws and guidelines that impact the area. Develops effective internal controls designed to promote adherence with applicable laws, accreditation agency requirements, and federal, state, and private health plans. Seeks advice and guidance as needed to ensure proper understanding.
