We're seeking a Department Operations Specialist to support the business operations of a high-performing Intellectual Property practice. This is an excellent opportunity for someone who thrives behind the scenes, enjoys collaborating across departments, and has a passion for financial analysis, project management, and operational strategy.

In this role, you'll work closely with department leadership to streamline operations, oversee financial reporting and budgeting, coordinate strategic initiatives, and help ensure the department operates efficiently while delivering exceptional client service. Responsibilities

  • Partner with leadership to improve department operations and workflows.
  • Manage department budgets, forecasting, and financial reporting.
  • Analyze operational and financial data to identify trends and recommendations.
  • Coordinate department projects, timelines, and strategic initiatives.
  • Track project progress and communicate updates to leadership.
  • Develop dashboards, reports, and key performance metrics.
  • Organize department meetings, calendars, and planning sessions.
  • Support attorney and staff onboarding and offboarding.
  • Collaborate with Finance, HR, Marketing, Recruiting, and other firm departments.
  • Drive process improvements and support technology initiatives.

Requirements

  • Bachelor's degree in Business, Finance, Accounting, or a related field.
  • 5+ years of operations, project management, or financial analysis experience.
  • Law firm or professional services experience preferred.
  • Experience managing budgets and financial reporting.
  • Strong project management and organizational skills.
  • Excellent analytical and problem-solving abilities.
  • Strong written and verbal communication skills.
  • Advanced Microsoft Office, especially Excel.
  • Experience with Power BI, Monday.com, Smartsheet, or similar tools preferred.
  • Familiarity with legal software such as iManage or billing systems is a plus.
