Position Overview:
As a key member of our growing team, the Preconstruction Estimating Department Administrator supports departmental excellence from the ground up. This dynamic role encompasses preconstruction support, estimating, project coordination, business development assistance, and document management. The ideal candidate is detail-oriented, technically savvy, and thrives in a collaborative environment where quality, accuracy, and client relationships are top priorities.
Key Responsibilities:
- Assist Preconstruction Managers with information gathering, process setup, and completion of estimating tasks
- Support and participate in preconstruction training, scheduling, and team performance
- Help develop and execute strategies for business growth, new client engagement, and marketing efforts
- Build and maintain positive relationships with new and existing clients, architects, engineers, and consultants
- Gather, organize, and assemble project documents, drawings, plans, and specifications for estimating and bidding
- Prepare and deliver thorough and accurate project proposals, bids, and presentations
- Develop clear and concise scopes of work for subcontractor bids; vet and prequalify subcontractors and vendors
- Maintain and update the company subcontractor database
- Participate in competitive bidding, budgeting, cost forecasting, and contract negotiations
- Analyze project risk factors; help prepare comprehensive takeoffs and bid documents
- Acquire a working knowledge of company estimating software, digital takeoff tools, and document control procedures
- Organize and maintain accurate estimating records and proposal files
- Support the transition from preconstruction to construction phases
- Contribute to the creation of marketing materials and support canvassing for potential projects
- Coordinate bid proposal submissions and ensure all documentation is complete and timely
- Serve as liaison for bid bonds, insurance requests, and other project documentation
- Ensure document control throughout the bidding and estimating process
Qualifications:
- Associate’s degree (minimum) in Building Construction Technology, Construction Management, Civil Engineering, Architecture, or related field
- Demonstrated ability to read and interpret construction plans and specifications
- Exceptional oral, written, and digital communication skills
- Ability to organize workload, prioritize tasks, and meet project deadlines
- Strong customer service focus and interpersonal skills for effective teamwork
- High degree of professionalism, accountability, and composure under pressure
- Mathematical accuracy and attention to detail in quantity takeoffs and estimations
- Mastery of Microsoft Word and Excel (required); proficiency with Microsoft Project
- Experience with digital takeoff solutions (such as Stack or similar) is preferred
- Experience in the construction industry or marketing/communications is a plus
- Tech-savvy; able to adapt quickly to new software and digital tools
- Self-starter who works well independently with minimal supervision
Additional Information:
- Mental and visual acuity required for analyzing figures and data using a computer
- Some travel required to visit clients and/or assess project sites
- Limited relocation expenses considered for the right candidate
