I. JOB DESCRIPTION

1. Job purpose

The Product & Contracting Specialist supports the Manager in building and maintaining Terraverde's Vietnam product portfolio and the country-wide rate sheet and supplier contracts, depending on track assignment. The role executes day-to-day product development or contracting work within standards set by the Manager, and feeds regional/supplier intelligence back into P&C decisions.

2. Accountabilities / Main Responsibilities

  • Own the day-to-day build-out of assigned itineraries/products within the approved portfolio strategy.
  • Maintain product content accuracy and market relevance for assigned region(s).
  • Own day-to-day contracting execution with assigned suppliers within approved commercial parameters.
  • Maintain accurate, up-to-date supplier and contract records.
  • Serve as the working-level link between P&C and the regional Chief Rep(s) for assigned market(s).
  • Support the Manager in keeping the country-wide rate sheet current and accurate.
  • Feed supplier-performance and guest feedback observations into the P&C feedback loop.
  • Support Sales and Operations with accurate, timely product and rate information.

3. Responsibilities / Tasks

3.1 Product Development

  • Research, draft, and cost new itineraries and experiences per the Manager's briefs.
  • Coordinate with suppliers on itinerary logistics, inclusions, and availability.
  • Update product content (descriptions, imagery, inclusions) for accuracy and market appeal.
  • Conduct competitor and market scans to support product refresh cycles.

3.2 Contracting & Supplier Management

  • Draft, negotiate (within delegated limits), and process supplier contracts and renewals.
  • Escalate terms above the delegated threshold to the Manager for approval.
  • Maintain the supplier database: contacts, contract terms, validity periods, and renewal dates.
  • Track supplier performance data (rates, service issues) for input into contract renewals.

3.3 Rate Sheet Maintenance

  • Load and update rates, seasonality, and terms into the rate sheet and Tour Chain (or equivalent system).
  • Run regular data-accuracy checks; flag and correct discrepancies.

3.4 Regional & Market Coordination

  • Liaise with the regional Chief Rep for assigned market(s) on local product needs, supplier leads, and market conditions.
  • Relay regional input to the Manager for portfolio and contracting decisions.

3.5 Feedback Loop Support

  • Collect and log supplier-performance notes and guest feedback relevant to assigned products/suppliers.
  • Support the Manager in preparing feedback-loop reviews and follow-up actions.

3.6 Sales & Cross-Department Support

  • Respond to Sales queries on product details, availability, and rates.
  • Assist with family/inspection trips and internal training on new products or supplier updates, as assigned.

4. Performance Standard

  • Product Accuracy: Assigned product content updated and error-free within agreed SLA (e.g., 48 hours of change).
  • Contract Turnaround: Supplier contracts/renewals processed within agreed SLA of receipt; escalations to Manager made promptly for above-threshold terms.
  • Data Integrity: ≤2% error rate on assigned rate sheet/system entries; regular QC checks completed.
  • Responsiveness: Sales/Operations queries on assigned products or suppliers answered within agreed turnaround (e.g., same business day).
  • Feedback Loop Contribution: Supplier-performance and guest feedback logged consistently and on schedule for Manager review.

5. Authority

  • Negotiate and finalize supplier terms within the delegated threshold; terms above threshold require Manager approval.
  • Update product content and rate sheet entries within approved standards.
  • No independent authority to set portfolio strategy, approve above-threshold contracts, or make booking/delivery decisions (Operations' remit).

II. REQUIREMENTS

1. Knowledge & Experience

  • Bachelor's degree in Tourism, Business Administration, or related field.
  • 2–3+ years in product development, contracting, or travel/hospitality operations (DMC experience preferred).
  • Familiarity with Tour Chain or similar reservation/product management systems is a plus.

2. Skills & Competencies

  • Strong attention to detail and data accuracy.
  • Sound negotiation skills within delegated limits.
  • Effective communication with suppliers, regional contacts, and internal stakeholders.
  • Organized and able to manage multiple products/contracts concurrently.
  • Fluent English; German a plus given market focus.

3. Personal Attributes

  • Proactive and structured; comfortable working within clearly defined authority limits.
  • Collaborative across Product, Contracting, Operations, and Sales.
  • Adaptable — willing to work across both Product and Contracting tasks as assigned.
  • High integrity handling confidential commercial information.
