Job DescriptionWe are seeking a highly motivated Purchasing Administrator to join our team at STIS, Inc. The ideal candidate will be detail-oriented, highly organized, and preferably possess at least 2 years of experience in the industrial construction field. This role involves managing purchase orders, coordinating with vendors, ensuring timely delivery of materials, and maintaining accurate procurement records.
Key Responsibilities
- Daily Purchase Order Importing:
- Problem Invoice Management and Corrections:
- Investigate invoice discrepancies, including pricing or duration
- Communicate with vendors to request adjustments or clarifications.
- Collaborate with field personnel to confirm invoice
- Revise purchase requisitions to align with field-verified
- Committed Cost Clearing:
- Review and validate anticipated (yet unbilled)
- Adjust, remove, or reclassify committed costs to ensure financial records reflect actual project
- Rental Equipment Audits:
- Conduct weekly audits of rental equipment in use across
- Verify usage, status, and billing accuracy with field staff.
- Assist with updating records and coordinating off-rents or
- Office Supply Management:
- Coordinate and complete bi-monthly office supply
- Track usage and ensure cost-effective procurement from approved
- Process purchase requisitions and create purchase orders (POs) for materials, equipment, and
- Maintain accurate records of purchase orders, receipts, and vendor
- Communicate effectively with internal teams (e.g., project managers, construction supervisors) to confirm material requirements.
- Ensure compliance with company policies and project specifications for all
- Support the purchasing team with administrative tasks and documentation
- 2+ years of experience in industrial construction
- Strong organizational and time-management skills
- High attention to detail and accuracy in data entry and recordkeeping
- Excellent communication skills, both verbal and written, with the ability to work collaboratively across
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Experience with construction accounting software or ERP systems (e.g., ComputerEase, Procore, or similar) is a plus.
- Ability to manage multiple priorities in a fast-paced environment
- Proactive problem-solver with a collaborative mindset
- Comfortable interfacing with field teams and external vendors
