The Coordinator will assist the Premium Services Manager and Director in the coordination of program activities. This role will be responsible for setting up and managing various resources for portfolio client programs. This position will perform a number of duties, including development, implementation and maintenance of systems and processes to support legal team efficiencies, and provide client transparency via reporting and dashboards. This will include automation, client/attorney consultation, technology solutions, reporting, and regular process improvement.
The Coordinator will also provide support in the way of coordinating and attending meetings, developing presentations, providing follow-up, maintaining, and updating artifacts, standard operating procedures, and other key functions as requested. As opportunities develop, the Coordinator may be assigned small projects to manage.
This requires sound judgment and discretion when working with clients and Ogletree attorneys to determine the most effective and efficient program operations to promote automation, efficiencies and documentation. This position will require a strong commitment to client service as well as the ability to effectively team and influence people across the firm to “manage” complex requests.
This position may be remote, but the successful candidate must reside in a state where we have a physical office.

Essential Functions
- Design and implement systems for collecting, organizing, and managing diverse data points related to client programs.
- Responsibility of administrative and operational functions and tasks related to key program areas (training, labor, employment, global offerings and/or client facing resources/technology).
- Organize daily activities based on the goals and priorities of program objectives.
- Provides problem solving as necessary on day-to-day program-related needs and issues.
- Participate in process improvements and increased program adoption initiatives as directed by the Program Manager and stakeholders.
- Coordinate with and assist internal and external clients to successfully implement new process, technology, procedures and workflows.
- Participate in program planning, analysis and reporting for management.
- Create, maintain and document program data, workflows, automations and processes for assigned program offerings and activities. Ensuring that all changes in programs and outcomes are consistently well documented.
- Collaborate with internal teams to understand client requirements and tailor program operations accordingly.
- Provide support to external clients, ensuring their needs are met and issues are resolved promptly.
- Continuously assess and refine operational processes to improve efficiency and effectiveness.
- Implement best practices to streamline workflows and enhance the overall client experience.
- Work closely with legal teams, IT professionals, and other stakeholders to align program operations and outcomes to shareholder and client requirements.
- Ability to make administrative/procedural decisions and judgments. Asks for and offers help when needed.
- Strong analytical and organizational skills with the ability to plan ahead.
- Exceptional computer skills with the ability to learn new software applications quickly.
- Excellent customer service skills with an unwavering “can-do” attitude.
- Excellent interpersonal skills and the ability to communicate professionally and effectively at all levels, both internally and externally.
- Strong verbal and written communication skills.
- Ability to interpret and follow through to completion, a variety of instructions.
- Ability to pay close attention to detail, occasionally for prolonged periods of time and under restrictive deadlines.
- Ability to schedule and manage tasks effectively for timely and successful outcomes.
- Ability to work independently and as a contributing team member for a shared purpose.
- Comfortable with periods of ambiguity and rapidly changing priorities.
- Intermediate or Advanced level Excel skills.
- Familiarity with SmartSheet is preferred.
- Law firm experience preferred but not required.
Ogletree is a multi-state employer. The pay ranges listed reflect compensation for the specific location identified. For roles performed in locations not listed, compensation will be determined based on the applicable location for the position.
