The Opportunity
The Software Asset Administrator plays a critical role in ensuring the organization maximizes the value of its software investments while minimizing risk, waste, and compliance exposure. This role oversees the full lifecycle of software assets from procurement and deployment to renewal and retirement and partners closely with business stakeholders, IT, Finance, and Procurement to maintain a well governed, cost-effective software environment.
This position is 100% on-site.
Essential Job Functions
- Administer the end‑to‑end software purchasing process, including vendor engagement, quoting, approvals, and contract coordination
- Oversee all software renewals, ensuring timely execution to prevent service lapses or compliance gaps
- Maintain a centralized calendar and workflow for tracking renewal dates, contract terms, and key vendor obligations
- Develop and maintain processes for tracking software licenses, entitlements, usage, and compliance across the organization
- Partner with business SMEs to validate software needs, license counts, and usage patterns.
- Identify opportunities to optimize spend through consolidation, right sizing, or alternative licensing models
- Establish and enforce software asset management (SAM) policies, standards, and best practices.
- Monitor compliance with licensing agreements and prepare for internal or external audits
- Mitigate risks related to unauthorized software, over deployment, or non-compliant usage
- Serve as the primary point of contact for software vendors, resellers, and internal procurement teams
- Collaborate with IT, Security, Finance, and business units to align software decisions with organizational strategy and budget
- Support contract negotiations by providing data driven insights on usage, entitlements, and future needs
- Maintain accurate, up to date records in SAM tools or asset management systems
- Produce regular reports on software inventory, spend, compliance status, and optimization opportunities
- Continuously refine processes to improve efficiency, transparency, and cost control
- Bachelor’s degree in Information Technology or related discipline. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience is related to the functions of the role
- Experience in Software Asset Management, IT Asset Management, Procurement, or related fields
- Strong understanding of software licensing models (SaaS, subscription, perpetual, enterprise agreements, etc.)
- Familiarity with SAM tools and ITSM platforms
- Excellent analytical, organizational, and communication skills
- Ability to collaborate effectively with technical and non-technical stakeholders
- Detail oriented mindset with a focus on accuracy and risk mitigation
- U.S. citizenship is required
- Position requires the ability to obtain a U.S. Government Security Clearance, if needed.
