Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to original agreement; monitors records to verify compliance with state and federal laws and determines payments due contractor for work completed. Work requires contact with contractors. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Essential Duties:

Construction Recordkeeper I or II:

  • Coordinates with construction inspectors and contractor's staff to ensure project records accurately reflect changes and agreements.
  • May attend pre-construction meetings to instruct contractor's bookkeeper on record-keeping procedures.
  • Monitors contractors' compliance with federal requirements related to Equal Employment opportunity and wages.
  • Monitors on-the-job training program and Disadvantaged Business Enterprise and Small Business Enterprise programs; submits required monthly reports.
  • Prepares and submits monthly and final estimates; checks calculations against work log and estimate form to verify work is completed before payment is made.
  • Composes, reviews, and maintains correspondence, reports, supporting documents and files.
  • Processes change orders, supplemental agreements, and extra work orders.
  • Maintains filing structure for each construction project within assigned area.
  • Performs other job responsibilities as assigned.

Construction Recordkeeper II additional duties:

  • Trains less experienced employees

Minimum Qualifications:

Education:

Construction Recordkeeper I or II: High School Grad or Equivalent in general education.

Experience:

Construction Recordkeeper I:No experience required.

Construction Recordkeeper II:1 year record-keeping, bookkeeping or related experience.

(Experience can be satisfied by full time or prorated part time equivalent).

Related college education or relevant technical training may be substituted for experience on a year per year basis.

Substitutions For Minimum Qualifications

Licenses and Certifications: Valid US driver’s license. This position requires driving a state vehicle.

Construction Recordkeeper I or II

Proficient skill in

  • Analyzing issues, facts, and available information to develop logical solutions; researching inconsistencies of facts or data; drawing correct inferences from information and making recommendations that support business decisions
  • Writing, reviewing and revising documents to include engineering notes, specifications, standards and procedures
  • Reading and interpreting applicable plans, schematics, blueprints and maps
  • Performing calculations using algebra, trigonometry and geometry
  • Using standard office equipment
  • Preparing and maintaining confidential and sensitive records, files, and reports
  • Communicating technical information effectively
  • Using computers, applicable programs, applications, and systems
  • Maintaining a safe and effective working relationship with others

Construction Recordkeeper II additional competencies:

  • Leading, assigning, reviewing, and monitoring the work of others

Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
  • Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading

Position Information

TxDOT's El Paso District is searching for a Construction Recordkeeper to join the East Area Construction and Maintenance Office in El Paso, TX! This position maintains construction and maintenance project records, reviews contract documents and monitors records to verify compliance with state and federal laws and determines payments due to contractors for work completed. This position could also include answering the telephone, interacting with the general public, and helping with travel arrangements.

Salary Grade

  • Construction Recordkeeper I:A16 / $40,918.00 - $61,130.00
  • Construction Recordkeeper II:A18 / $45,521.00 - $71,055.00
