Key Responsibilities
- Administer departmental and special program budgets, monitoring revenues and expenditures to support sound financial decision-making.
- Set up and maintain financial accounts, reconcile balances, prepare correcting entries, and process budget adjustments in accordance with university policies and sponsor guidelines.
- Prepare monthly financial reports, analyze budget-to-actual variances, identify trends, and recommend corrective actions.
- Manage payroll costing allocations and payroll accounting adjustments across multiple fund types while analyzing payroll expenditures.
- Develop routine and ad hoc financial reports to support departmental leadership and strategic planning.
- Coordinate purchasing activities, create purchase requisitions, track purchase orders through completion, and ensure procurement activities comply with university policies.
- Process expense reimbursements for faculty, researchers, and staff while providing guidance on university financial policies and procedures.
- Collaborate with Keck School of Medicine Finance, USC Central Finance, and Research Administration Shared Services to support departmental financial operations.
- Ensure compliance with USC financial policies, healthcare regulations, and grant sponsor requirements.
- Prepare monthly invoices for contracted departmental services, audit incoming payments, and maintain external clinical provider timesheet records.
- Monitor purchase orders and invoices, reconcile outstanding obligations, and facilitate fiscal year-end and grant closeout activities.
- Coordinate DEA license documentation between providers and vendors to support controlled substance purchasing compliance.
- Track faculty academic funding accounts, prepare quarterly utilization reports, and assist faculty with expenditures and reimbursements.
- Coordinate year-end financial transfers, reconciliations, and closing activities.
- Perform other duties and special projects as assigned.
- Bachelor’s degree in Finance, Accounting, Business, Healthcare Administration, Biology, Chemistry, Mathematics, or a related field.
- Two years of experience in budgeting, financial analysis, healthcare finance, or an equivalent combination of education and experience.
- Experience working collaboratively with physicians, researchers, administrators, or other multidisciplinary teams.
- Advanced Microsoft Excel skills, including pivot tables, data analysis, and working with large datasets.
- Experience using financial management systems and data warehouse reporting tools.
- Strong analytical, organizational, and problem-solving abilities.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and commitment to data accuracy.
- Ability to prioritize multiple assignments in a fast-paced academic healthcare environment.
- Experience in academic medicine, higher education, or healthcare finance, preferably within USC or Keck Medicine of USC.
- Familiarity with:
- Grant accounting, including NIH and federally sponsored research
- Clinical financial metrics such as RVUs and payer mix
- Procurement and purchasing lifecycle processes
- Experience using Workday and Concur.
Minimum Education: Bachelor's degree Addtional Education Requirements Combined experience/education as substitute for minimum education Minimum Experience: 1 year Minimum Skills: Business administration, accounting or related degree and budget experience including knowledge of government and fund accounting. Strong computer skills with use of automated spreadsheets. Preferred Education: Bachelor's degree Preferred Experience: 2 years Preferred Skills: University budget experience and knowledge of university financial systems.
