What You Should Know About The Role

Accountable for coordinating and executing new construction, remodeling and renovation projects, branch relocations, facility updates, and large capital expenditure projects across the credit union footprint. This role oversees project schedules, budgets, documentation, vendor coordination, stakeholder communication, and project closeout to ensure work is completed on time, within budget, and in alignment with organizational standards. The Real Estate Project Coordinator also supports Facilities Coordinators with facility-related projects, maintenance initiatives, operational improvements, and onsite project coordination as needed. This is accomplished by providing outstanding service to both internal and external members while living and demonstrating the credit union core values: Act with Integrity, Drive Progress, Build & Strengthen Relationships, and Keep People at the Core.

Major Duties And Responsibilities

Project Management, Construction Oversight, and Stakeholder Coordination

  • Coordinates and manages all phases of assigned real estate, new construction, renovation, relocation, remodeling, facility update, and capital improvement projects from planning through project closeout.
  • Develops and maintains project schedules, budgets, scopes of work, contracts, project documentation, punch lists, status reports, and closeout materials.
  • Serves as a primary liaison between internal stakeholders, architects, engineers, contractors, landlords, consultants, vendors, and management throughout the project lifecycle.
  • Facilitates Owner, Architect, and Contractor meetings, project status meetings, field inspections, vendor coordination meetings, and stakeholder updates.
  • Monitors project progress, addresses issues, manages project risks, and supports timely decisions to keep projects aligned with approved scope, schedule, budget, and organizational standards.

Capital Planning, Budget Management, and Facilities Support

  • Assists in the planning, execution, tracking, and reporting of capital expenditure projects and facility investments across the organization.
  • Tracks project costs, forecasts expenditures, reviews invoices and change orders, identifies cost savings, and supports value engineering efforts with awareness of total cost of ownership.
  • Works closely with Facilities Coordinators to support facility improvement projects, equipment replacements, major maintenance initiatives, onsite coordination needs, and operational facility support.
  • Provides project management guidance and practical support to Facilities Coordinators, including coordination of resources, prioritization of facility work, and follow-up on project-related tasks.
  • Compiles project status updates, budget reporting, risk summaries, and project performance information for senior leadership.

Compliance, Risk Management, and Organizational Standards

  • Ensures projects comply with applicable building codes, permitting requirements, contractual obligations, vendor requirements, organizational standards, and regulatory expectations.
  • Maintains project records and documentation to support compliance, audit readiness, budget review, knowledge transfer, and ongoing operational continuity.
  • Must comply with applicable laws and regulations, including but not limited to the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Additionally, all employees must follow policies and procedures to minimize risk by exercising judgment, raising questions to management, and adhering to policy guidelines.

Requirements

Experience

Five years to eight years of similar or related experience, including preparatory experience. Must possess knowledge of Facilities and Construction processes and methodologies along with associated applications to effectively manage projects.

Education/Certifications/Licenses

Associate degree in Construction Management, Project Management, Engineering Technology, Facilities Management, Business Administration, or a related field preferred. An equivalent combination of education, certifications, and directly related professional experience in construction, facilities management, project management, or corporate real estate will be considered in lieu of an associate degree.

Interpersonal Skills

A significant level of trust, credibility and diplomacy is required. In-depth dialogue, conversations and explanations with customers, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Communications may involve motivating, influencing, educating and/or advising others on matters of significance. Typically includes subject matter experts as well as first level to middle managers.

Physical Requirements

Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 75 lbs. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; and talk or hear. The employee frequently is required to stand, walk, and reach with hands and arms. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl.Must be capable of regular, reliable and timely attendance.

Working Conditions

Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise, as well as outside in various degrees of heat and cold. Must be willing to travel within Advia footprint up to 25%, which may include multiple overnight stays.

Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.
