The Project Coordinator will work closely with Project Executives, Project Managers, Project Engineers, Superintendents, and General Foremen while reporting to the Division Finance Manager. This role is responsible for supporting project teams through administrative coordination, reporting, project documentation, and job cost support for both field and office operations.

Responsibilities
- Manage COINS (ERP system) data entry and reporting, including change orders, subcontract agreements, subcontract change orders, and job cost reports.
- Assemble and track subcontracts, insurance certificates, billings, lien releases, certified payroll, and subcontractor documentation.
- Prepare and submit monthly project billings with all required supporting documentation in accordance with contract requirements.
- Follow up with clients regarding outstanding accounts receivable balances.
- Collect and review timecards for union personnel.
- Assist Project Managers with tracking and preparing daily field reports.
- Gather and submit customer-required contractual documentation, including business licenses, contractor licenses, certificates of insurance, emergency phone lists, safety programs, drug awareness programs, and MSDS sheets.
- Analyze open cost commitments and coordinate with subcontractors and vendors to confirm all costs are resolved prior to project closeout.
- Provide general administrative and operational support to project teams as needed.
- Perform additional project coordination tasks as assigned.
- Associate degree (A.A.) preferred or minimum of 2 years of related experience
- Strong verbal and written communication skills
- Ability to prioritize tasks and effectively multi-task in a fast-paced environment
- Strong analytical and critical reasoning skills
- Proficiency in Microsoft Excel
- Excellent organizational skills and attention to detail
- Strong work ethic, flexibility, and team-oriented mindset
- Ability to work effectively in both office and job site environments
