GBI has always maintained that our employees are our greatest asset, and we are now seeking to add to our team. We are looking for a Project/Estimating Assistant to join our team in Portland, OR.

Position Summary

This position provides administrative support across the region, with a primary focus on supporting the Estimating Department and project teams. The ideal candidate is highly organized, detail-oriented, and able to communicate effectively both verbally and in writing. Success in this role requires the ability to thrive in a fast-paced project environment, manage multiple priorities, and adapt quickly as needs change. The successful candidate will take initiative, identify opportunities to streamline processes, and complete tasks accurately and efficiently while providing dependable support to the broader team.

Position Description

  • Prepare and submit monthly customer billings, including required schedules and supporting documentation.
  • Support Accounts Receivable by obtaining lien waivers and maintaining required project documentation, with a goal of keeping receivables under 60 days.
  • Download, organize, and maintain plans, specifications, quotes, and other bid-related documents.
  • Prepare bid documents, bonds, and supporting materials for public and private proposals.
  • Maintain estimating information and records within the CRM database.
  • Solicit and track quotes from subcontractors, suppliers, and service providers.
  • Assist with pre-qualifications, bids, RFPs, and SOQs.
  • Support the preparation of marketing materials, proposals, and project closeout documents.
  • Create and maintain job folders, spreadsheets, databases, and project records.
  • Maintain complete and accurate project information in Vista.
  • Coordinate project setup and billing requirements with project teams, Estimators, and Contract Administration.
  • Enter and maintain change orders in Vista as requested.
  • Coordinate subcontractor pay applications with project teams and Subcontract Payables.
  • Provide additional administrative support to project teams and Estimators as needed.

This position offers a salary range of $65,000 to $85,000 annually.

Required Education, Experience, And Technical Knowledge

  • Candidates must have the legal right to work in the US without employer sponsorship.
  • 2 years of project administrative experience; database and Microsoft excel spreadsheet entry.

Education

  • High School Graduate or GED.
  • Associate's degree and previous experience in a construction company is preferred but not required.

Certifications / Licenses

  • Valid driver’s license, and clean driver’s abstract is required.

Computer Skills

  • Must have computer experience using MS Office product suite and Outlook.
  • Experience with Oracle, Procore, SAP Ariba, Vista, Smartbid, CRM, and Adobe Acrobat and InDesign is a plus.
