About The Role
We are seeking a detail-oriented and organized **Inventory and Invoice Specialist** to support our telecom operations. This role primarily focuses on invoice approval and inventory control for parts and related supplies that keep telecom cell sites and network facilities powered during outages. The position also provides third-level warehouse support and fourth-level support using our company-owned CORE system for quoting and ordering parts. Forklift operation is a valuable bonus skill. The CORE system will be fully taught through department training. This position plays a vital role in keeping telecom networks reliable by ensuring parts are accurately inventoried, properly invoiced, and efficiently quoted and ordered.
Key Responsibilities
- Invoice Approval & Processing (Primary)
- Review, verify, and approve vendor invoices for parts, engines, alternators, fuel systems, controllers, filters, batteries, transfer switches, and related telecom backup power components.
- Match invoices against purchase orders maintained in our CORE system, receiving records, and delivery confirmations.
- Investigate and resolve pricing, quantity, or specification discrepancies with suppliers and internal teams.
- Process invoices efficiently to support strong vendor relationships and operational continuity.
- Manage accurate tracking, cycle counts, and reconciliation parts inventory (starters, fuel pumps, voltage regulators, exhaust components, oil/lubricants, belts, hoses, etc.).
- Monitor stock levels of critical spares to prevent downtime at telecom tower sites.
- Perform regular audits and maintain real-time records in the inventory management system.
- Identify reorder points and coordinate with procurement for timely replenishment of generator-specific supplies.
- Generate inventory reports focused on high-usage and slow-moving parts.
- Provide hands-on assistance in the warehouse as needed, including receiving, storing, picking, packing, and staging parts for field technicians.
- Help organize and maintain the parts warehouse for efficient access and safety.
- Support loading/unloading of components and shipments.
- Deliver fourth-level support using the company-owned CORE software for quoting and ordering parts for customers and technicians in a timely manner.
- Process work orders, generate quotes, and execute purchases efficiently through CORE.
- CORE system training will be provided by the department
- Safely operate a forklift to move pallets, generators, engines, and heavy materials (bonus skill).
- Collaborate with field teams and technicians to resolve parts availability, quoting, or invoice-related issues.
- Adhere to all safety protocols, including proper handling of generator-related materials.
- Contribute to continuous improvement of inventory accuracy and warehouse efficiency.
- Must be 23 years of age or older (for company vehicle insurance requirements).
- Clean driving record (Motor Vehicle Report required).
- Experience 2+ years in inventory management, invoice processing, warehouse operations, or parts quoting/ordering, ideally in generators, heavy equipment, or telecom.
- Education High school diploma or equivalent required; technical or supply chain education preferred.
- Proficient with ERP/inventory software and Microsoft Excel.
- Strong understanding of invoice verification processes.
- Ability to quickly learn new systems (CORE training provided).
- Forklift Operator Certification (highly preferred).
- Physical Requirements- Ability to lift up to 50+ lbs and work in a warehouse environment.
- Knowledge of diesel/gas generators and common failure parts used in telecom backup power.
- Hands-on experience with forklift operation in a parts warehouse.
- Excellent attention to detail and organizational skills.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Strong communication skills for coordinating with technicians, vendors, and customers.
