PROGRAMME MANAGEMENT ASSISTANT

Organization: UNEP – Law Division, OzonAction Branch (Compliance Assistance Programme for South Asia)

Responsibilities

Under the supervision of the Regional Coordinator for the Montreal Protocol Network for South Asia, the Programme Management Assistant supports the implementation and administration of the Compliance Assistance Programme (CAP) for the South Asia region.

Key responsibilities include:

  • Supporting the planning, coordination and implementation of programme and project activities.
  • Conducting research, compiling and analyzing programme data, and preparing reports and presentations.
  • Assisting with project planning, documentation, monitoring and approval processes.
  • Preparing and monitoring programme budgets, tracking expenditures, verifying fund availability and supporting financial reporting.
  • Monitoring project implementation, maintaining budget and performance data, and supporting programme evaluation.
  • Supporting programme managers with performance reporting and ensuring compliance with reporting requirements and UN procedures.
  • Coordinating administrative aspects of project implementation, including recruitment, travel, procurement, consultant contracts, training activities and payment processing.
  • Drafting correspondence, project summaries and administrative documentation.
  • Organizing meetings and workshops, including participant registration, travel arrangements and DSA processing.
  • Maintaining project tracking systems, databases and records for contracts, payments and translations.
  • Managing administrative and financial transactions in Umoja and other UN systems, including financial authorizations, business partner management and expenditure recording.
  • Assisting with data analysis, visualization and preparation of reports to support planning, decision-making and knowledge management.
  • Updating communication materials, including web pages and brochures.
  • Performing other duties as assigned.

Requirements

  • High school diploma or equivalent is required.
  • At least seven (7) years of experience in programme or project administration, financial management, technical cooperation or a related field. The requirement is reduced to five (5) years for candidates holding a first-level university degree or higher.
  • Experience working with an Enterprise Resource Planning (ERP) system, such as Umoja, is desirable.
  • Experience in data analytics or a related field is desirable.
  • Experience working within the United Nations common system or a similar international organization is desirable.
  • Fluency in English is required.
