About the Role
As a Construction Project Administrator, you will play a pivotal role in supporting multiple construction projects with administrative expertise and organizational excellence. You’ll manage critical information, handle documentation on both cost and revenue sides, and ensure that each project is meticulously tracked from start to finish. Your attention to detail and collaborative spirit will contribute to the overall efficiency and growth of our company.
Key Responsibilities:
- Review and process subcontractor billing and assist with full charge bookkeeping.
- Generate, run, and prepare reports for Project Management staff and company President.
- Assist with requesting, tracking, and logging Requests for Information (RFIs).
- Coordinate the drafting and processing of contracts, purchase orders, and change orders.
- Provide daily communication with site superintendents and project managers to keep projects moving smoothly.
- Track the progress of jobs, maintain project files, monitor paperwork, and follow up on the status of orders and client change orders.
- Develop and maintain strong working relationships with clients, architects, consultants, vendors, and subcontractors.
- Prepare and submit client billing in the proper format, ensuring all required documentation is included.
- Organize, plan, and prioritize your workload to ensure deadlines are met.
- Collaborate with peers and supervisors for problem resolution and project/task completion.
- Perform additional administrative and office duties as assigned by management.
Qualifications:
- Strong and stable employment history with proven experience as a full charge bookkeeper.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint (emphasis on spreadsheets and reporting).
- Previous experience with Sage CM accounting software (strongly preferred).
- Excellent attention to detail and ability to manage deadlines.
- Exceptional verbal and written communication skills.
- Strong accounting, bookkeeping, and math abilities.
- Adaptability and willingness to learn new software and systems.
- Positive attitude, collaborative mindset, and commitment to organizational excellence.
