About this job 

 

We are seeking a dedicated and detail-oriented Real Estate Support Specialist to join our global team. In this role, you will provide comprehensive support across a range of real estate administrative functions, including lease management, environmental management programs, and real estate portfolio governance activities. The position will also support Regional Real Estate Leaders by preparing portfolio reports, presentations, analyses, and other materials to facilitate strategic decision-making and effective portfolio management across multiple regions.

 

 

Responsibilities

 

  1. Real Estate and Lease Management:
  • Maintain and organize real estate documents, records and files, supporting Global and Regional Leaders
  • Lead the monthly review, for 18 month rolling calendar view of portfolio optimization
  • Collaborate with Region & Cluster Leaders consistently, reviewing upcoming lease expiration dates and gathering documentation
  • Gather final lease documentation, including new leases, renewals, terminations and amendments from Cluster & Region leaders, and share files with external lease database administrator or directly upload into the system
  • Ensure compliance with lease terms and conditions and address any issues or discrepancies.
  • Coordinate with internal and external stakeholders to ensure timely completion of administrative tasks
  • PO creation and invoice tracking to support Global and Regional Leaders as needed
  • Maintain accurate lease records and databases, and generate reports as needed.
  • Manage external lease database team, providing guidance on reporting, monitor and audit file updates, etc.
  1. Environmental Management:
  • Support environmental management programs and initiatives
  • Ensure ongoing utility supplier integration into compliance module of external database
  • Support with data management

 

Qualifications

  • Bachelor's degree in Real Estate, Environmental Science, Business Administration, or a related field.
  • Proven experience in real estate administration, lease management, and environmental management.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, Excel and management software.
  • Ability to work independently and as part of a team.
  • Attention to detail and a proactive approach to problem-solving.
